Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional support to our leadership. This role is vital in ensuring smooth daily operations, managing schedules, and facilitating effective communication across departments. The ideal candidate will be proactive, detail-oriented, and possess a strong ability to multitask in a fast-paced environment. Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings for executive leadership with precision and efficiency
- Handle incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and customer service skills
- Prepare, proofread, and organize correspondence, reports, and presentations with attention to detail and accuracy
- Maintain organized filing systems both physically and digitally, including data entry and document management using Google Workspace and Microsoft Office tools
- Support office management tasks such as supply ordering, facilities coordination, and front desk duties including greeting visitors and managing the front desk area
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Provide personal assistant support as needed, including travel arrangements, calendar management, and task prioritization
- Collect bids and manage purchasing processes
- Support the accounting department
Requirements
- Proven experience as an executive assistant or in a similar administrative role with office management responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Bilingual abilities are highly desirable to assist diverse teams and clients
- Demonstrated experience in clerical tasks such as filing, proofreading, and document management
- Exceptional customer service skills with professional phone etiquette and the ability to handle multi-line phone systems confidently
- Previous experience in office or medical/dental receptionist roles is a plus
- Strong time management skills with the ability to meet deadlines consistently
- Personal assistant or medical receptionist experience is advantageous for supporting specialized needs such as calendar management for healthcare professionals
