Executive Assistant

Choreo is seeking a highly organized, proactive, and polished Executive Assistant based in Charlotte to provide administrative support to members of the Executive Leadership Team (ELT), specifically our Chief Wealth Officer and in time our CEO. Ideal for someone who thrives in a fast-paced, high-touch environment, anticipates needs before they arise, and can balance day-to-day executive support with project coordination responsibilities, this role is designed to evolve over time. As the Executive Assistant builds context, trust, and familiarity with the business, responsibilities will increasingly center on more dedicated CEO support, with continued targeted administrative support for select ELT members.

The Executive Assistant will play a critical role in helping executives operate efficiently, stay organized, and remain focused on strategic priorities. The right candidate will bring strong judgment, exceptional attention to detail, discretion in handling confidential information, and the ability to interact professionally with senior leaders, advisors, clients, and external partners.

Primary Responsibilities:

Executive Support

  • Provide high-level administrative support to designated members of the Executive Leadership Team.
  • Manage complex calendars, including scheduling internal and external meetings, prioritizing requests, and resolving conflicts.
  • Coordinate travel arrangements, including flights, hotels, transportation, and detailed itineraries.
  • Prepare and process expense reports in a timely and accurate manner.
  • Support meeting preparation by gathering materials, creating agendas, preparing presentations, and organizing follow-up items.
  • Monitor and help manage executive inboxes as needed, including drafting responses, flagging priorities, and tracking action items.
  • Serve as a trusted liaison between executives and internal or external stakeholders.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Exercise strong judgment in managing executive priorities, proactively anticipating needs and resolving issues before escalating.
  • Act as a gatekeeper of time, helping to evaluate, prioritize, and sequence requests in alignment with business priorities.
  • Partner closely with the executive leader to ensure meetings, materials, and follow‑ups are aligned to strategic objectives.

Project and Strategic Support

  • Provide partial project support for initiatives led by the Chief Wealth Officer.
  • Assist with coordination of cross-functional meetings, timelines, deliverables, and follow-up tasks.
  • Track project milestones and help ensure action items are completed on schedule.
  • Prepare reports, summaries, presentations, and meeting notes for leadership discussions.
  • Help organize materials and logistics related to strategic planning, leadership meetings, and special projects.
  • Support execution of department or enterprise initiatives by partnering with stakeholders across the business.
  • Support preparation and coordination for senior leadership, governance, or Board‑level meetings as needed, including materials, logistics, and follow‑ups.
  • Liaise professionally with internal and external stakeholders on behalf of the CEO and other senior leaders.

Administrative and Operational Coordination

  • Help coordinate on-site meetings, leadership sessions, and other in-person events in the Charlotte office.
  • Maintain organized files, records, and documentation for executive and project-related work.
  • Assist with vendor coordination, document preparation, and other administrative processes as needed.
  • Identify opportunities to improve administrative workflows and create efficiencies for leaders and teams

Basic Qualifications:

  • 5+ years of experience in an executive assistant, senior administrative, or similar support role, preferably supporting senior executives.
  • Experience supporting multiple leaders in a fast-paced, professional services or corporate environment preferred.
  • Strong calendar management and travel coordination experience.
  • Demonstrated ability to manage competing priorities and adapt quickly to changing needs.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • High degree of professionalism, judgment, and discretion.
  • Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
  • Ability to work independently while collaborating effectively across teams and functions.
