About the Role

We’re looking for a highly organized, proactive, and resourceful Executive Assistant to support senior leadership at Eightpoint. This role goes beyond traditional administrative support. You will act as a strategic partner, helping optimize time, streamline operations, and leverage modern tools.

Key Responsibilities

Executive Support

• Manage complex calendars, scheduling, and prioritization across multiple stakeholders
• Coordinate internal and external meetings, including agendas, prep materials, and follow-ups
• Handle email triage and communications on behalf of executives when needed
• Arrange travel logistics, itineraries, and accommodations

Operations & Coordination

• Support day-to-day operational workflows across leadership priorities
• Track key initiatives, deadlines, and deliverables
• Prepare reports, presentations, and briefing materials
• Assist with special projects, research, and ad hoc tasks

AI & Productivity Enablement

• Leverage AI tools (e.g., ChatGPT, Notion AI, automation tools) to draft communications, summarize information, and improve workflows
• Identify opportunities to automate repetitive tasks and increase efficiency
• Support executives in adopting AI tools for decision-making, research, and productivity
• Stay current on emerging AI tools and recommend improvements to internal processes

Communication & Relationship Management

• Serve as a point of contact between executives and internal/external partners
• Maintain strong relationships with team members, investors, and partners
• Ensure smooth communication flow across the organization

Strategic Enablement

• Anticipate executive needs and proactively solve problems
• Identify opportunities to improve processes and efficiency
• Help maintain focus on top priorities by filtering noise and managing competing demands

Who You Are

• 2+ years of experience supporting executives, founders, or senior leaders
• Demonstrated experience using AI tools to improve productivity and workflows
• Exceptional organizational and time management skills
• Strong written and verbal communication
• High level of discretion and professionalism
• Ability to operate independently and make sound decisions
• Comfortable in fast-paced, ambiguous environments

Preferred

• Experience in startups, venture, consulting, or high-growth environments
• Familiarity with tools like Google Workspace, Notion, Slack, and calendar management platforms
• Experience implementing or experimenting with AI-driven workflows or automations
• Strong attention to detail with a bias toward action
