Executive Assistant

Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. The Executive Assistant plays a critical and strategic role in maximizing the effectiveness of the Executive Director by ensuring the seamless execution of organizational objectives and the optimization of internal operations. This position requires a proactive, highly organized, and process-oriented individual capable of managing high-level administrative tasks, driving efficiency, and standardizing critical operational procedures.

Responsibilities

  • Act as key liaison for the Executive Director, managing communication and documentation.
  • Proactively track, coordinate, and execute strategic objectives and special projects as directed by the Executive Director.
  • Prepare confidential reports, presentations, and correspondence for internal and external stakeholders
  • Design, implement, and maintain effective cross-functional processes to improve collaboration and workflow across departments.
  • Conduct analyses of current procedures to identify bottlenecks and implement strategies for increasing work efficiency.
  • Develop, document, and manage comprehensive Standard Operating Protocols (SOPs) for key administrative and operational funtions to ensure consitstency and compliance.
  • Oversee and manage the end-to-end enrollment procedures, ensuring a smooth, efficient, and well documented process for all applicants.
  • Coordinate with relevant teams (e.g., admissions, finance) to streamline enrollment-related tasks.
  • Monitor enrollment metrics and report on progress to the Executive Director
  • Meet with supervisory staff on a bi-weekly basis
  • Provide weekly updates
  • Attend or participate in Continued Education activities (e.g. online modules, professional development)

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role
  • Demonstrated ability to develop, document, and implement organizational processess or SOPs.
  • Exceptional organization, project management, and problem solving skills
  • Strong profeciency in all Google Workspace applications and other relevent office software.
  • Excellent writeen and verbal communication skills, with professional and siscreet demeanor

Pay: $23.00 per hour
