Executive Assistant

Pathfinder Consultants, a verified SDVOSB located in Washington, DC has a job opening for a Executive Assistant supporting the Security Director (SD) for the St. Elizabeths Campus on a contract supporting the Department of Homeland Security (DHS), Federal Protective Service (FPS). This position will be located onsite in Washington, DC.

Minimum Position Requirements:

  • Bachelor's Degree
  • 2+ years minimum relevant, professional Executive Assistant experience
  • Must possess outstanding organizational skills, outstanding communication skills, exceptional writing capabilities and be capable of using the DHS systems necessary to support the Security Director.
  • Must be experienced using systems including WebTA, Concur Government Edition, Correspondence tracking tool and all MS office Suite applications.
  • The EA will often be the voice and first point of contact for FPS in dealing with our stakeholders and other FPS Offices with the Region, at headquarters and across the country.

Essential Duties and Responsibilities:

  • Manage and prepare the schedule, coordinate travel arrangements, and handle all facets of administrative duties required to support the Federal Protective Service as a Law Enforcement Agency.
  • Developing tasking’s, briefings, reports, fact sheets, talking points, communications, and outreach for the FPS Regional 11 program office Director’s Office.
  • Reviewing work products, requiring a high degree of familiarity with relevant policies, programs, and standards; identify issues and opportunities for improvement to the Director and Deputy Director.
  • Managing internal and external communications to include speaker requests and associated clearance processes, development of charts, memorandum, reports, letters and tasks, reviewing briefings and presentations, and coordinating participation of senior executives at major events.
  • Developing templates and standards to report on activities not covered by DHS, NPPD, or templates and standards.
  • Ensuring task coordination across FPS Branches/Districts while providing quality control to advance information-sharing.
  • Researching and recommending changes to policy through participation in policy related Headquarters tasks and meetings.
  • Developing meeting reports and tracking status of assignments.
  • Reviewing and editing: Strategic planning documents, Policy guidance, Implementation guidelines, Memorandum, reports, fact sheets, briefs, excel reports and tasks, roles and responsibility descriptions and tables of organization.
  • Operating correspondence management system to track and monitor all internal and external tasks.
  • Position may require extended hours periodically as requested from the COR directly to the CO for authorization due to mission critical task assignments.
  • Demonstrate ability to read, interpret and follow policy, regulations, and directives.
  • Use macros, create pivot tables, charts, and graphs, and use simple and complex formulas including color codes when developing spreadsheets.
  • Be proficient in government financial, procurement and property management software.
  • Track action items generated from staff meetings.
  • Prepare meeting minutes, and support outreach events and associated roundtables
  • Perform duties as needed in support of Program requirements

Job Types: Contract, Full-time

Pay: From $40.54 per hour
