Pay Range: $17-20/hour

Position Summary

The Executive Assistant (EA) is responsible for managing the CEO’s calendar, travel, and day-to-day coordination in a fast-paced, operationally complex environment. This role requires structured thinking, anticipation, and the ability to manage shifting priorities across multiple time zones and stakeholders.

This role requires prior experience supporting an executive with complex scheduling and travel logistics. The EA will bring structure, prioritization, and follow-through to the CEO’s workflow while supporting on-site coordination alongside business operations This is a unique opportunity to work directly with the CEO and gain exposure to how a business is built and operated in real time.

Essential Duties and Responsibilities

  • Calendar & Prioritization Management
  • Own CEO calendar end-to-end, including scheduling, restructuring, and prioritization
  • Manage a high-volume calendar across multiple time zones (ET ↔ PT)
  • Prioritize meetings based on business impact
  • Resolve scheduling conflicts proactively
  • Ensure CEO is prepared for all meetings with agendas, materials, and context
  • Systems & Process Improvement
  • Improve organization of calendar, communication, and task workflows
  • Utilize tools such as ChatGPT, Claude, and Gemini to increase efficiency (training provided)
  • Identify opportunities to streamline repetitive administrative work
  • Actively look for ways to apply technology to simplify, automate, and improve workflows
  • Travel Planning & Coordination
  • Own all CEO travel logistics
  • Build efficient travel schedules aligned with business priorities
  • Maintain itineraries and coordination
  • Ensure seamless travel execution across time zones
  • Anticipate and resolve travel-related issues proactively
  • Meeting Preparation & Coordination
  • Prepare structured agendas
  • Ensure clear objectives and expected outcomes
  • Coordinate materials in advance
  • Capture notes, decisions, and action items
  • Track follow-ups and ensure completion
  • Front Desk & On-Site Support
  • Support front desk operations and visitor coordination
  • Partner with Business Administration Manager on retail store and facility priorities
  • Assist with routing customer service escalations
  • Provide general on-site administrative support as needed

Required Skills and Experience

  • High proficiency with the Internet, workplace productivity tools (sheets/docs/slides)
  • Strong organizational and time management skills
  • Strong communication skills (written and verbal)
  • Ability to prioritize and adapt quickly
  • High attention to detail and reliability
  • 2–5+ years of experience in an Executive Assistant or similar role preferred
  • Experience supporting a CEO or founder is a plus
