Overview:

Performs confidential administrative work of a complex nature for three Vice President’s, Chief of Staff and Executive Director.

Responsibilities:

  • Perform confidential administrative work for the assigned principals, including managing correspondence, answering phone calls and responding to inquiries.
  • Manage complex calendars for assigned principals.
  • Respond to routine inquiries both written and verbal.
  • Coordinate travel arrangements with Special Events Department including itineraries and logistics.
  • Assist with scheduling and organizing meetings across multiple leaders and departments. Assemble agendas and prepare/distribute official notices, meeting materials and documentation.
  • Provide accurate and detailed minutes at Regional Coordinator “Huddle” meetings, prepare and distribute finalized minutes/action items.
  • Handle questions from PEF members, in coordination with internal departments, by obtaining and transmitting information and acting as a buffer for complaints.
  • Ensure timely follow-up on executive action items.
  • Work cooperatively with other personnel to provide Executive Office administrative coverage.
  • Other related duties as assigned.
  • Consistent and reliable attendance.

Qualifications:

  • Graduate of business or community college, preferred.
  • Minimum three years’ experience as an Executive or Administrative Assistant.
  • Thorough knowledge of general office practices and procedures.

Successful candidate must demonstrate:

  • Strong interpersonal skills and ability to effectively communicate (both written and verbal) with staff, union members & elected union members, and our executive team.
  • Highly organized with strong project management skills and the ability to manage multiple projects and deadlines.
  • Ability to maintain confidential and sensitive information.
  • Strong computer skills (Microsoft Office Suite: Outlook, Word, Excel, and PowerPoint).
  • Ability to work independently and respond flexibly to changing events.
  • Ability to assess and set priorities, meet deadlines, and manage multiple projects in a fast-paced, changing environment.
  • Consistent and reliable attendance is critical.

Salary and Benefits:

The salary range for this position is $63,276.00 (minimum) - $81,277.00 (maximum).
