We are looking for a new team member for the role of "Executive Assistant To CEO''
- Location: DHA Phase 3, Lahore
Key Accountabilities:
- Act as the first point of contact for both Executive Directors and Directors and, maintain the effective working of their offices in their absence.
- Maintain the highest level of confidentiality and adherence to policies and procedures.
- Managing correspondence, track incoming and outgoing correspondence and ensure replies are produced within the required timeframe.
- Read and prioritize incoming correspondence and prepare draft responses as appropriate. Ensure that cyclical and management deadlines for reports, reviews, budgets are met.
- Establish and maintain systems and procedures to support the efficient running of the office.
- Maintain effective communication and working relationships with key partners and stakeholders at an operational level; the organizations' senior management team and key internal and external stakeholders
- Provide advice and support to stakeholders. Undertake research and other activities as required.
- Attend specific meetings and take notes, draft minutes and action recommendations as required.
- Provide support to other members of the Directorates as necessary.
- Manage and organize external/internal events as required
- Responsible to make arrangements for outstation or foreign travel and accommodation of the Executive Director
- Responsible for the visa processing of Executive Director for official visits
- Responsible for ticket purchasing, hotel bookings, coordinate for transport arrangements etc. of Executive Director in coordination with the concerned department or personnel.
- Make necessary arrangements for meetings of the Executive Director and inform all concerned persons or departments
- Follow up or remind Executive Director about meetings and inform concerned customers or persons about confirmation or cancellation of the meetings (if required)
- Present in the official meeting (as per the instructions) and prepare minutes of the meeting
- Take minutes of meeting on daily/ weekly, or monthly. And subsequently share those minutes with the relevant participants. Additionally, add tasks in Asana and update on Google Sheet as well to track progress. Stay proactive in seeking updates from team members.
Essential Requirements:
- Minimum Bachelors degree required
- 3 years work experience in administration and personal assistant roles at the executive level
- Excellent attention to detail, accuracy and quality
- Excellent written and verbal communication skills
- Ability to work easily and effectively with a wide range of people
Job Type: Full-time
Pay: Rs80,000.00 - Rs100,000.00 per month
