Our client, a renowned advertising agency, is seeking a highly organized and proactive Executive Assistant to support their C-level leadership, primarily the CEO in a 4 month contract (possibility to extend). Compensation:

Responsibilities:

Coordinate and optimize multiple executives' calendars, resolving conflicts proactively.

Prepare and confirm meeting agendas, ensuring important time is allocated for strategic thinking and travel.

Act as a trusted gatekeeper, utilizing sound judgment to prioritize calls, emails, and meeting requests.

Manage and process a high volume of expenses efficiently and accurately.

Make domestic and international travel arrangements, crafting detailed itineraries that account for time zones, delays, and logistics.

Organize meeting and event logistics, including audiovisual setup and catering arrangements.

Schedule meetings and conference calls with internal teams and external clients or partners.

Welcome guests and manage security protocols for onsite meetings.

Monitor and respond to email correspondence promptly and professionally.

Support special projects and assist colleagues with overflow tasks as needed.

Maintain familiarity with company policies and technological updates.

Demonstrate exceptional multi-tasking skills, prioritizing effectively during busy periods.

Requirements:

5-7 years of experience in an executive support role, preferably supporting senior-level professionals.

Strong proficiency with Outlook, Teams, Zoom, and Mac operating systems.

Proven ability to handle calendar management, travel planning, and expense reporting with precision.

Exceptional attention to detail and organizational skills.
