EXECUTIVE ASSISTANT

Description:

Under direction, responsible for supporting the President by providing high-level, confidential administrative and strategic support related to day-to-day business, and acting as a “right-hand” partner to maximize efficiency. The executive assistant will manage complex calendars, handle communications, coordinate travel, prepare materials as necessary, and act as a liaison between the President and internal/external stakeholders.

Knowledge, Skills, and Abilities

Considerable knowledge of current office methods and procedures, with the ability to maintain a smooth and cohesive work environment. Strong writing, organizational, and computer skills are required. Must be highly motivated, detail-oriented, and capable of prioritizing multiple tasks while meeting deadlines. Demonstrates strong customer service, documentation, teamwork, and communication skills. Ability to operate standard office equipment and become proficient in business-related applications to assist the President as needed. Excellent oral and written communication skills, along with strong interpersonal and human relations abilities, are essential.

Education, Training, and Experience

High school diploma or GED required; some college preferred. Must possess intermediate computer skills and be proficient in Microsoft Office Suite and Adobe Acrobat. Ability to communicate effectively, both orally and in writing, with customers and coworkers is essential. Knowledge of or experience in the equipment industry is preferred. Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities to perform the position may also be considered.

Examples of Duties and Responsibilities

  • Conducts all business in a professional, respectful manner and in accordance with Digging & Rigging Inc.’s policies and procedures and outlined in the Compact of Respect.
  • Proactively manages a fast-moving, complex calendar and prioritizes incoming emails to ensure focus on top priorities.
  • Acts as the initial point of contact, drafts correspondence in the President’s voice, and screens calls.
  • Assists Vice President/Treasurer with receivables, banking, mail, and outgoing correspondence.
  • Organizes meetings, prepares materials, and prepares detailed travel itineraries.
  • Conducts research, prepares reports and presentations, and records minutes during key meetings.
  • Handles sensitive company and personal information with high integrity.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Assists with special projects by coordinating resources and tracking progress.
  • Performs related assignments as required.

Special Requirements

  • Position operates computer terminal for prolonged periods.
  • Must be reliable, punctual, and able to function at a high level as part of a team.
  • Must be able to pass a background check and drug test.
