Executive Assistant

Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our leadership team and ensure smooth daily operations within our dynamic office environment. Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and professionalism
  • Handle incoming calls, directing inquiries with courtesy and efficiency while maintaining excellent phone etiquette, and booking appointments
  • Greet visitors at the front desk, ensuring a warm welcome and seamless check-in process
  • Prepare, proofread, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and record-keeping tasks with accuracy while maintaining confidentiality
  • Assist with office management duties such as ordering supplies, overseeing office equipment, and ensuring a clean, organized workspace
  • Support bookkeeping activities using QuickBooks or similar software to manage invoices and expenses inputing
  • Provide personal assistant support including calendar management, travel arrangements, and task prioritization for executives
  • Offer customer support by addressing inquiries promptly via phone or email, ensuring positive interactions at all times
  • Maintain professional communication standards through effective phone etiquette and clerical practices
  • Other duties as assigned by management team

Skills

  • Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Strong computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry platforms
  • Proven experience in office management or administrative roles with a focus on clerical support and customer service excellence
  • Bilingual proficiency to communicate effectively with diverse clients and team members
  • Excellent typing speed coupled with proofreading skills for accurate document preparation
  • Familiarity with multi-line phone systems and front desk operations in professional settings
  • Knowledge of bookkeeping software such as QuickBooks for financial recordkeeping will be considered an asset.
  • Outstanding time management skills to prioritize tasks effectively under deadlines
  • Experience in receptionist roles is a plus but not required; relevant personal assistant experience is also a plus but not required.
  • Demonstrated professionalism in handling sensitive information with discretion
