Executive Assistant to the CEO

Location: Seattle, WA — In-office, Monday–Friday, 8am–5pm

Compensation: $85,000–$95,000 base + performance bonus (total comp $95K–$110K+)

We’re a successful Seattle real estate brokerage looking for someone who operates at a Chief of Staff level but has no interest in being Chief of Staff. You want to be the person behind the scenes who makes everything run — not the one running meetings about meetings.

This role has real authority, real access, and real impact. You’ll work directly alongside the CEO, own the systems that keep the business moving, and have a direct voice in how we operate. If you see a better way to do something, say so — your recommendations carry weight here.

What You’ll Own

CEO enablement — Manage the CEO’s calendar, communications, and priorities with full autonomy. You arrive before the CEO every morning, brief them on what happened overnight, what’s been handled, and what needs a decision. A single printed page — priorities, calendar, and pending items — is on their desk before they walk in. Nothing surprises the CEO mid-morning. That’s your standard.

Pipeline management — Run the full sales pipeline in Follow Up Boss independently. Stages current, follow-up cadences active, lead hygiene clean. You don’t wait to be asked.

Transaction oversight — Manage and hold accountable the VA or TC handling open-to-close transactions. You’re the escalation point. Nothing falls through the cracks between pipeline and closing.

Client communication — Draft and send client-facing correspondence in the CEO’s voice. Maintain relationships and follow-through without being asked. You represent the CEO with every message.

Reporting & insights — Build and run recurring reports on pipeline health, agent activity, and business performance. Synthesize data into clear takeaways that drive decisions. Flag anomalies before they become problems.

AI & technology — Evaluate and implement AI tools that create real leverage for the CEO and the team. You don’t need to be a developer. You need to be curious, resourceful, and willing to own the rollout.

People & operations — Provide day-to-day direction to support staff. Coordinate vendors, contractors, and internal projects. Hold people accountable to deadlines and standards.

Process improvement — This role has the autonomy and standing to recommend changes to how we operate. You’re expected to use it.

Content day — Own the logistics and execution of weekly content capture sessions with the CEO for YouTube. Behind the camera. As the brand grows, this scales to twice weekly.

Office operations — Keep the physical office organized, stocked, and functional. Small office, less than one hour per week — but it’s yours to own.

You’re the Right Fit If

You have 4+ years in an EA, operations, business manager, or senior admin role

You’ve managed up — you know how to keep a high-performing executive focused and unblocked

Your written communication is exceptional — you can draft a client email that sounds exactly like the person you support

You have hands-on CRM experience; Follow Up Boss familiarity is a strong plus

You’re comfortable building reports and spotting trends in data

You have strong judgment and discretion — sensitive information stays internal

You’re genuinely excited about AI tools and have already started using them

You can commit to being fully in-office in Seattle, Monday through Friday

You’re comfortable with evening and weekend availability — this role supports a CEO who doesn’t stop at 5pm
