Main Responsibilities of the Executive Assistant are:
- Provide administrative support to the Corporate Executives
- Data Entry for accounting records
- Assist with Property Management for Residential and Commercial Real Estate
The primary administrative responsibility will be supporting the needs of the Corporate Executive. Responsibilities include but are not limited to:
- Organizing and securing highly confidential company and partner information
- Coordinate Meetings
- Maintaining Office Supplies/Equipment
- Understanding the corporate executives' priorities & maintaining frequently changing calendars
- Manage incoming and outgoing correspondence, including verbal, email, and mail
- Ensure document filing is kept up to date and the filing system is maintained properly
- Liaise with other departments and service providers to resolve issues and follow up on tasks.
- Assist with employee record management
- Performs other general office and administrative tasks as required by the position
Data Entry Responsibilities include but are not limited to:
- Recording and managing daily deposits
- Monitoring accounts payable & receivable
- Managing credit card records
- Recording expense entries to accounts by analyzing invoice/expense reports
- Reconciliation of accounts
- Tracking Daily and Monthly Sales
- Resolving payment discrepancies and ensuring credit is received for outstanding memos
- Issuing invoices to customers, posting customer payments and maintaining customer files
Real Estate Responsibilities include but are not limited to:
- Maintaining marketing and outreach efforts to achieve full occupancy
- Residential Tenant Communication
- Rent Management
- Inspection of the property
- Maintenance and repair coordination
Other responsibilities include but are not limited to:
- Writing/Updating written Procedures and Forms
- Creating spreadsheets, ad-hoc reports, and special projects, as assigned
- Typing correspondence and generating form letters often requiring independent discretion and follow up
- Serving as back up support for other managers or administrative staff when required
- Interacting with all levels of management, corporate clients, and business community leaders
Qualifications
- Possess the highest regard for confidentiality
- Strong organizational skills with the ability to prioritize workload and exercise independent discretion.
- Strong problem solving skills
- Ability to self-manage, follow through, and report results without direction
- Excellent computer/keyboard skills including Microsoft word, excel and outlook
- Work a reliable schedule with extended hours during peak seasons
- Great attitude -- ability to stay positive under pressure and demonstrate a high level of integrity and professionalism interacting with internal and external constituents
- Proactive and anticipatory team player with the interest to take initiative and work in a fast-paced environment
- Proficient in QuickBooks is a plus
- Work experience in a prior executive assistant or office management position is a plus
- This full time position is located in Columbia, MO. The position assists with multiple business ventures.
