Executive Assistant

Responsibilities

  • Manage and coordinate executive calendars, appointments, and meetings with precision and foresight
  • Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately
  • Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Organize files, maintain records, and oversee data entry tasks to ensure accuracy and accessibility
  • Assist with office management duties including supply ordering, facility coordination, and front desk responsibilities
  • Provide exceptional customer service by supporting clients, visitors, and internal teams with a friendly demeanor
  • Support personal assistant tasks such as travel arrangements, calendar management, and event planning as needed

Requirements

  • Proven experience in office management or administrative roles with clerical experience in a professional setting
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with QuickBooks or bookkeeping is a plus for handling financial documentation
  • Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support
  • Strong typing skills coupled with attention to detail for proofreading documents and maintaining accurate records
  • Previous experience as a receptionist or personal assistant in medical or dental offices is advantageous
  • Ability to demonstrate excellent time management skills while juggling multiple responsibilities efficiently

Pay: $17.00 - $25.00 per hour
