We're growing, and our Owner needs a right-hand partner who can keep pace with him — someone who is as comfortable managing a packed calendar as they are jumping into a fast-moving conversation and figuring out what needs to happen next.

About The Role

We're looking for an exceptional Executive Assistant who can partner directly with our Owner during an important phase of growth for The Palmer Group. This is a fully in-person role based at our new headquarters in Richmond Hill, GA — presence matters here, and we're looking for someone who's excited to be part of the team every day.

You'll be a true force multiplier: helping our Owner move faster, stay organized, delegate effectively, and keep the business humming. This role is roughly 90% executive support and 10% personal assistance — because when the person you support operates at his best, the whole company benefits.

Tech-savviness is non-negotiable here. We move quickly and rely on tools that keep us efficient. You should be the kind of person who figures out new software before lunch and genuinely enjoys finding smarter ways to work.

What You'll Do

Be the Owner's Right Hand on Priorities & Execution

  • Understand what matters most — and protect the Owner's time accordingly
  • Help drive decisions, delegation, and follow-through at high velocity
  • Action-plan how key initiatives will get done and who owns what

Own the Calendar, Inbox & Communications

  • Manage a fast-moving, complex calendar with purpose and precision
  • Run inbox management — tagging, drafting responses, and handling routine communications independently
  • Write clearly and professionally in the Owner's voice
  • Prep briefing materials so every meeting starts sharp

Keep Everything Moving — No Dropped Balls

  • Track open action items, decisions, and projects across the team
  • Keep stakeholders informed and accountable without being asked
  • Anticipate what's coming and get ahead of it

Be a Problem-Solver, Not a Gatekeeper

  • Take initiative — handle what you can, escalate what you should, delegate the rest
  • Approach every obstacle with a 'figure it out' mindset
  • Be a facilitator and partner, not a bottleneck

Build Smarter Systems

  • Create and improve processes that make the business run more efficiently
  • Stay current on productivity tools, AI tools, and administrative tech — and bring ideas to the table
  • Help build workflows that scale with the company

Keep the Office Running Smoothly

  • Serve as the go-to person for day-to-day office operations at our Richmond Hill headquarters
  • Manage office supplies, vendor relationships, and facility needs — staying ahead of what the team requires
  • Greet and coordinate visitors, contractors, and other guests professionally
  • Organize and maintain shared workspaces, files, and common areas
  • Coordinate with building management and service providers as needed
  • Help onboard new team members by ensuring their workspace and tools are ready from day one
  • Identify operational gaps and put systems in place to fill them

Light Personal Support

  • Coordinate the Owner's personal calendar alongside professional commitments
  • Schedule personal appointments without creating conflicts
  • Help build simple systems for recurring personal logistics

About You

  • 5+ years supporting senior executives, business owners, or founders — preferably in a fast-moving environment
  • Strong tech skills — you learn new tools quickly, stay current, and genuinely enjoy it
  • Exceptional written communication, including the ability to write in someone else's voice
  • Sharp judgment about what matters and why — you don't need a playbook for every situation
  • High ownership mentality — you see things through and don't wait to be asked
  • Warm, personable, and professional — you fit naturally into a family company culture
  • Discreet, trustworthy, and emotionally intelligent
  • Comfortable with ambiguity, shifting priorities, and a fast pace
  • Willing to flex your schedule when the situation calls for it

Tools & Technology

We run a modern, tech-forward operation and expect our Executive Assistant to be fully fluent in the tools we use every day. Proficiency in the following is required:

Microsoft 365 Suite

  • Outlook — calendar and inbox management is a core part of this role
  • Excel — comfortable building and working with spreadsheets, tracking data, and creating reports
  • PowerPoint — preparing polished presentations and materials for the Owner
  • OneDrive — file organization, sharing, and document management

Project & Task Management

  • Asana — we use Asana to manage tasks, projects, and team accountability; experience required

AI & Emerging Tools

  • Comfortable working with AI-driven productivity tools (e.g., ChatGPT, Claude, Copilot, or similar)
  • Proactive about learning and adopting new tools that improve efficiency
  • We expect our EA to bring tech recommendations to the table — not just keep up, but help lead the way

What This Role Is Not

This is not a passive, task-only administrative role. We need someone who thinks, not just executes.

This is not a rigid 9-to-5. The pace of the business sets the rhythm — and we need someone who can move with it.

This is not a stepping-stone for someone who's already planning their next move. We're looking for a long-term partner who wants to grow alongside The Palmer Group and become a trusted part of our team.

This is not a role for someone who's uncomfortable in close, high-trust working relationships. You'll know a lot about how this company runs — and that matters to us.

Compensation & Benefits

We take care of our people. Here's what you can expect:

  • Salary: $60,000 – $75,000 depending on experience
  • Health care coverage available
  • 16 days of paid time off annually
