Overview
The Academy 4 Executive Assistant provides high-level administrative support to the Executive Director with a specific emphasis on organization and communication. The Executive Assistant helps ensure the Executive Director’s time and priorities are well-managed, facilitates internal and external communication, and assists with scheduling, documentation, and logistics. This role plays a key part in maintaining efficiency and supporting the overall leadership of Academy 4.
Qualifications
- Must embrace the mission of Academy 4 to connect churches to schools and their communities to mentor 4th graders in leadership.
- Proven experience in an executive assistant or high-level administrative support role, preferably supporting senior leadership.
- Exceptional organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills, including the ability to draft professional emails, reports, and other correspondence.
- Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) and comfort learning new software platforms or tools.
- Professionalism and interpersonal skills to work effectively with staff, board members, donors, and community partners.
- Detail-oriented and proactive with the ability to anticipate needs, solve problems independently, and take initiative
Job Responsibilities
- Manage the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Serve as the primary point of contact for internal and external communications on behalf of the Executive Director.
- Prepare and edit correspondence, reports, meeting agendas, and presentation materials.
- Coordinate and support board meetings, including preparing materials and making all needed arrangements.
- Support the planning and execution of leadership meetings, retreats, and special events.
- Track and manage task lists, deadlines, and project timelines to help the Executive Director stay on schedule.
- Assist with external communications, acknowledgments, and record-keeping as directed.
- Monitor and respond to emails or requests on behalf of the Executive Director as appropriate.
- Prepare and submit expense reports and manage reimbursement processes for the Executive Director.
- Anticipate the Executive Director’s needs and proactively take steps to address them.
- Provide general administrative support, including printing, scanning, mailing, and note-taking.
Pay: From $55,000.00 per year
