Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. Responsibilities
- Manage and maintain detailed calendars, scheduling appointments, meetings, and travel arrangements for executives.
- Serve as the first point of contact at the front desk, greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents with accuracy and attention to detail.
- Coordinate logistics for meetings, including booking venues, arranging catering, and preparing necessary materials.
- Handle data entry tasks using tools like Microsoft Office, Google Workspace, and QuickBooks to ensure accurate record-keeping.
- Support office management duties such as filing, organizing digital and physical documents, and managing office supplies inventory.
- Provide excellent customer service by responding promptly to inquiries via phone or email while maintaining proper phone etiquette.
- Assist with bookkeeping tasks and basic financial record management when needed.
- Maintain confidentiality of sensitive information while supporting personal assistant responsibilities such as calendar management and task prioritization.
Requirements
- Proven experience as an executive assistant or in a similar administrative role with office management responsibilities.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with QuickBooks or similar accounting software.
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent written and verbal communication skills; bilingual abilities are a plus.
- Demonstrated experience in clerical tasks such as filing, data entry, proofreading, and document management.
- Knowledge of multi-line phone systems, front desk procedures, and office etiquette.
- Ability to prioritize tasks effectively using time management techniques; experience with calendar management is essential.
- Previous experience in customer service or customer support roles enhances your ability to handle inquiries professionally.

Pay: $54,341.33 - $65,443.32 per year
