Executive Assistant

Job Summary
We are seeking a dynamic and highly organized Executive Assistant to support our executive leadership team and ensure the smooth operation of daily office activities for our large Skilled Nursing (nursing home) organization.

Responsibilities

  • Manage complex calendars, schedule appointments, meetings, and travel arrangements with precision and attention to detail
  • Serve as the first point of contact at the "company front desk", greeting visitors and handling multi-line phone and text systems with professionalism and courtesy
  • Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy
  • Handle data entry, filing, and document management using tools like Microsoft Office, Google Workspace, and Excel for bookkeeping purposes
  • Assist with office management duties including supply procurement, organization of files, and maintaining office equipment
  • Provide exceptional customer service support by responding promptly to inquiries via phone or email while maintaining excellent phone etiquette
  • Support personal assistant tasks such as calendar management, event planning, and coordinating personal appointments for executives

Experience

  • Proven office management or administrative experience in a fast-paced environment
  • Strong clerical skills including data entry, filing, proofreading, and document organization
  • High proficiency level in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and excellent computer skills is a must.
  • Proficiency in working with AI (ChatGPT/Claude/etc)
  • Prior experience in customer service or customer support roles demonstrating excellent communication skills
  • Demonstrated ability to prioritize tasks efficiently using time management techniques

Pay: $50,000.00 - $75,000.00 per year
