Job Overview
We are seeking an organized and proactive Executive Assistant to join our team. In this role, you will provide administrative support to the CEO of a growing hospitality company. Your approach and attention to detail will enhance efficiency, facilitate project coordination, and increase productivity across the organization. Responsibilities
- Manage complex calendars, schedule appointments, and coordinate meetings for the CEO with precision and efficiency
- Handle multiple meetings, screen calls, and direct inquiries with professionalism and courtesy
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents to ensure accuracy and clarity
- Maintain organized filing systems—both physical and digital—ensuring easy retrieval of important information
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
- Support personal assistant responsibilities such as travel arrangements, event planning, and calendar management
- Provide excellent customer service by addressing inquiries promptly via phone or email and supporting client interactions
- Perform data entry tasks with high accuracy while maintaining confidentiality of sensitive information
- Coordinate office logistics including filing, photocopying, proofreading documents, and managing office equipment
Experience
- Prior office management or administrative experience in a fast-paced environment is helpful
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience providing exceptional phone etiquette is required
- Bilingual skills are highly desirable to facilitate communication with diverse clients or patients (Spanish in particular)
- Familiarity with clerical tasks such as data entry, filing, proofreading, and calendar management is necessary
- Previous experience in customer service roles is advantageous
- Strong organizational skills combined with excellent time management abilities are crucial for success in this role
- Knowledge of bookkeeping software is preferred but not mandatory; willingness to learn is appreciated
