This is not a single-industry company. On any given day the work touches healthcare operations, franchise development, software product decisions, and sales strategy. The person in this role will see all of it.
The Role
We are hiring an Executive Assistant to support our CEO across the full enterprise. This is a high-trust, high-visibility role that sits at the center of how our leadership team operates.
You will own the organizational infrastructure that keeps our executives sharp and moving - calendars, meeting preparation, notes, deliverable tracking, project coordination, and travel logistics across multiple business lines. You will be trusted with confidential information, included in important conversations, and expected to bring judgment and discretion to everything you touch.
Experience level is open. What we are looking for is someone meticulous, hungry to learn, and genuinely energized by making leaders more effective across a complex, fast-moving operation.
What You'll Own
Executive Coordination
- Manage calendars for the CEO and Chief of Staff across multiple business lines — scheduling, prioritizing, and protecting their time
- Prepare agendas before every meeting and distribute clear, actionable notes after
- Draft and manage correspondence on behalf of the executive team as needed
- Serve as the primary point of contact for external partners, vendors, and stakeholders coordinating with leadership
Project & Deliverable Tracking
- Own the tracking system for all open leadership deliverables across the enterprise — nothing falls through the cracks on your watch
- Monitor open projects across multiple business lines and flag anything at risk of slipping before it becomes a problem
- Help the CEO and CoS stay ahead of deadlines across concurrent initiatives in different industries
- Support coordination for strategic projects, cross-company initiatives, and leadership planning cycles
Travel & Logistics
- Coordinate all travel for the CEO and CoS — flights, hotels, ground transport, and itineraries
- Travel with the leadership team to key events including leadership offsites, industry conferences, meetings, and strategic engagements
- Events span multiple industries and include national healthcare, technology, franchise, and business leadership conferences
- Manage logistics end-to-end so leadership arrives prepared and focused, not scrambling
Administrative
- Handle expense reports, vendor coordination, and general administrative needs for the executive team
- Maintain organized digital files, records, and reference documents across multiple business lines
- Support onboarding of new leadership team members and vendor relationships as the portfolio grows
