Rushabh Parekh Design Studio is looking to hire an EXECUTIVE ASSISTANT to the DIRECTOR / HR EXECUTIVE.

  • PREFERENCE – The candidate must be based in the Mumbai location only.
  • JOB LOCATION – Lower Parel, Mumbai.
  • EXPERIENCE– 04 to 10 years
  • JOINING DATE– Immediate joiner preferred.
  • REMUNERATION – No salary limit for the right candidate.
  • JOB TYPE - Full-time.

EXECUTIVE ASSISTANT TO THE DIRECTOR - RESPONSIBILITIES:

  • Managing Diary, Google Calendar, scheduling calls, appointments, and meetings,
  • Taking notes, dictation, managing project coordination, attending calls, screening phone messages
  • Welcoming clients, guests, vendors, and meeting coordination, etc.
  • Acting as the central contact point amongst the staff. Vendors
  • Reminder to the boss for the meetings,
  • Collection of weekly deliverables and a plan for the ongoing projects
  • Information flow, data reconciliation, and maintaining the MIS for the database weekly
  • Interaction with staff and the management team for their travel and accommodation to be timely.
  • Maintaining the Filing, courier, logistics, etc
  • Itinerary management for the Director/Senior staff

HUMAN RESOURCES EXECUTIVE - RESPONSIBILITIES:

  • Manage end-to-end recruitment: job posting, candidate sourcing/screening,
  • Scheduling & coordinating interviews, shortlisting candidates, and sending interview invitations, etc.
  • Employee onboarding and orientation, maintaining employee joining documentation and records.
  • Processing the Offer and Appointment letter, maintaining personal file, and joining formalities
  • Maintain the HR database: employee records, attendance, leaves, and performance data.
  • HR-related letters and documents: offer letters, appointment letters, confirmation letters, relieving letters, etc.
  • Support the implementation of HR policies and resolve issues at the workstation.
  • Planning and executing for the company's smooth functioning
  • Vendor management with AMC services, insurances, etc., organizing events weekly and occasionally:
  • Coordinate employee engagement—events, communication, interactions with external vendors, and support HR initiatives like training, performance appraisals, and exit formalities.
