Overview
I am looking for a high-level Executive Assistant / Chief of Staff to act as my right hand across both business and personal matters.
The objective is simple:
Ensure everything runs smoothly, efficiently, and proactively — without requiring my constant involvement.
This is not a traditional assistant role.
You will operate at the intersection of operations, strategy, execution, and personal organization, with a high level of trust and autonomy.
Key Responsibilities
Business Operations & Coordination
- Oversee and follow up on multiple companies and international teams
- Coordinate across teams (Europe, UAE, USA, Hong Kong)
- Ensure execution, accountability, and deadlines are met
- Build and maintain clear reporting systems (operations, performance, finance)
- Support structuring and optimization of business processes
- Assist in administrative management, invoicing, and operations
Executive & Personal Management
- Full management of my calendar (business & personal)
- Strategic prioritization of time and commitments
- Email management and prioritization
- Travel planning (multi-country, high standards, seamless execution)
- Anticipate needs and remove friction from my daily life
Personal Branding & Social Media
- Manage and grow my presence on Instagram and LinkedIn
- Develop and execute content strategy
- Plan, coordinate, and publish content
- Work with external creatives if needed
Personal & Lifestyle Operations
You will ensure a seamless and well-orchestrated personal environment, including:
- Booking restaurants, events, and experiences
- Coordinating drivers, services, and external providers
- Managing personal projects (e.g. real estate follow-up, key handovers)
- Organizing gifts and special requests (clients, partners, personal)
- Handling ad hoc requests with speed and precision
This is not about isolated tasks — but about delivering a smooth, proactive, and high-standard lifestyle management experience.
Systems & Organization
- Build and implement systems (Notion, CRM, internal tools)
- Structure workflows and processes
- Continuously optimize organization and efficiency
Recruitment & Team Follow-up
- Assist in recruiting key profiles
- Ensure teams are aligned and accountable
- Maintain a high level of operational clarity
Profile
- Exceptional organizational and execution skills

- Comfortable in fast-paced, international environments
- Excellent communication skills (written & verbal)
- Ability to handle multiple priorities without losing quality

Confidentiality
- Access to sensitive information (emails, accounts, operations)

Working Conditions
- Fully remote with occasional travel
- Work across multiple time zones (Europe, UAE, USA, Asia)
- Flexible schedule
- High availability required (including weekends when needed)
- Strong responsiveness expected
Compensation
- Salary: €3,000 / month
- Performance-based bonus

Hiring Process

- 1-month trial period

- I no longer need to manage or follow up with teams directly
- Operations run smoothly and are well-structured
