About the Role
We are seeking a highly proactive, resourceful, and execution-oriented Executive Assistant & China Operations Coordinator to support the CEO. This role is ideal for someone who thrives in a fast-paced environment, takes ownership of tasks, solves problems independently, and is comfortable managing a wide range of business, operational, sourcing, and administrative responsibilities.
Chinese language proficiency and strong knowledge of the Chinese market are mandatory, as a significant part of the role involves supplier sourcing, coordination with manufacturers, negotiations, and business support activities related to China.
This is not a traditional assistant role. We are looking for someone who can think independently, improve processes, identify opportunities, and take initiative rather than simply waiting for instructions.
Key Responsibilities
- Organize tasks, projects, and follow-ups to ensure deadlines are met
- Prepare reports, presentations, spreadsheets, and business documents
- Take meeting minutes and track action items
- Handle confidential information with discretion and professionalism
- Support the CEO with day-to-day administrative and operational tasks
- Source products, suppliers, manufacturers, and service providers within China
- Conduct supplier verification, due diligence, and market research
- Request and compare quotations from suppliers
- Negotiate pricing, lead times, and commercial terms where appropriate
- Maintain supplier databases and sourcing records
- Monitor supplier performance and identify alternative sourcing opportunities
- Perform data entry and maintain accurate business records
- Create and improve internal procedures, workflows, and documentation
- Assist with project coordination and follow-up across multiple departments
- Identify inefficiencies and propose practical solutions to improve operations
- Support special projects and strategic initiatives assigned by the CEO
- Translate written and verbal communication between English and Chinese
Requirements
- Native or fluent Chinese speaker (Mandatory)
- Professional working proficiency in English, both written and verbal (Mandatory)
- Strong knowledge of the Chinese business environment, suppliers, and sourcing practices (Mandatory)
- Excellent organizational, communication, and time-management skills
- Strong attention to detail and ability to manage multiple priorities simultaneously
- Highly proactive with a strong sense of ownership and accountability
- Able to work independently with minimal or no supervision
- Strong problem-solving and analytical skills
- Proficient in Microsoft Office, Google Workspace, and online collaboration tools
- Comfortable working directly with senior management and handling confidential information

Pay: AED5,000.00 - AED8,000.00 per hour
Ability to commute/relocate:
- Dubai: Reliably commute or planning to relocate before starting work (Preferred)
