We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to our senior executives. The ideal candidate will be a professional, self-starter who can manage multiple tasks efficiently, maintain strict confidentiality, and anticipate the needs of the executives to ensure smooth day-to-day operations. This role requires exceptional communication skills, a strong ability to prioritize, and proficiency in various office software.
- Manage complex calendars, including scheduling meetings, appointments, and conferences, and resolving scheduling conflicts with minimal supervision.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, ground transportation, and detailed itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and adherence to company standards.
- Organize and facilitate meetings, including preparing agendas, distributing materials, taking minutes, and ensuring follow-up on action items.
- Act as a primary point of contact and gatekeeper for executives, screening calls, emails, and visitors, and redirecting inquiries as appropriate.
- Handle confidential information with the utmost discretion and integrity.
- Process expense reports, invoices, and other financial documentation accurately and in a timely manner.
- Conduct research, compile data, and prepare reports as requested by executives.
- Assist with special projects and initiatives, providing administrative support and coordination.
- Maintain an organized filing system, both physical and electronic, for important documents.
- Proactively identify and address potential issues or inefficiencies in administrative processes.
- Liaise with internal staff at all levels and external clients/partners professionally.
