We are seeking a sharp, proactive, and people-oriented Executive Assistant & HR Coordinator. In this dual-role, you will be the central force ensuring our executive's effectiveness and supporting the employee lifecycle from onboarding to offboarding. Key Responsibilities
Executive Assistant (Primary Focus - 60-70%)

Complex Calendar & Schedule Management:
Proactively manage the executive’s calendar, including scheduling meetings, appointments, and travel (domestic & international) with a keen sense of priority and context.

Communication Hub:
Serve as the primary point of contact for the executive, screening and prioritizing communications. Draft, proofread, and prepare correspondence, reports, and presentations.

Meeting & Event Coordination:
Organize and prepare for meetings, including agenda creation, material distribution, minute-taking, and follow-up on action items. Coordinate company events, board meetings, and team offsites.

Project Management Support:
Provide high-level support on key projects, tracking milestones, deadlines, and ensuring the executive is prepared for all commitments.

Confidentiality & Discretion:
Handle sensitive and confidential information with the utmost integrity and professionalism.
Human Resources Coordination (Secondary Focus - 30-40%)

Recruitment & Onboarding:
Coordinate the full-cycle recruitment process—posting jobs, screening resumes, scheduling interviews, conducting reference checks, and sending offer letters. Manage a seamless new hire onboarding experience, including paperwork, orientation, and system setup.

HR Administration:
Maintain accurate and up-to-date employee records in the HRIS (Human Resources Information System). Process employee status changes, promotions, and departures.

Benefits & Payroll Support:
Serve as a first point of contact for employee questions regarding benefits and policies. Assist with benefits enrollment and act as a liaison with providers. Support the payroll process by providing accurate data.

Culture & Engagement:
Help foster a positive company culture by assisting with employee engagement initiatives, recognition programs, and team-building activities.

Compliance:
Assist in ensuring compliance with federal, state, and local employment laws and regulations. Help maintain the employee handbook.
Qualifications & Skills
Required:

Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-level executives.

At least 1-2 years of hands-on experience with HR administrative tasks (onboarding, recruitment coordination, HRIS management).

Impeccable organizational and time-management skills with the ability to prioritize multiple tasks seamlessly.

Expert-level written and verbal communication skills.

High degree of proficiency with G Suite (Gmail, Calendar, Docs, Sheets) or Microsoft Office Suite.
