We are seeking an
Executive Assistant
to join us and serve as a dedicated strategic partner and administrative lead for a senior executive. The primary goal is to maximize the executive’s efficiency by managing complex operational tasks, streamlining communications and overseeing specialized projects. The EA acts as a high-level liaison between the executive and internal/external stakeholders, ensuring that the office runs seamlessly and strategic priorities are met.
KEY ACCOUNTABILITIES:
Complex Calendar & Schedule Management

Strategic Scheduling:
Own the executive’s calendar, resolving conflicts and prioritizing meetings based on business needs.

Gatekeeping:
Serve as the primary point of contact, managing the executive’s time and access.

Travel Logistics:
Plan and book all travel, including transport, lodging, and detailed itineraries.
Communication & Liaison

Writing & Editing:
Draft and polish emails, memos, and announcements on behalf of the executive.

Bridge-Building:
Act as a link between the executive and their team to ensure instructions are clear and tasks are tracked.

Meeting Support:
Set agendas, take minutes, and follow up on action items to ensure goals are met.
Projects & Information

Project Tracking:
Support special projects by managing deadlines and coordinating with other departments.

Discretion:
Handle confidential business and personnel information with total privacy.
QUALIFICATIONS & COMPETENCIES:

5+ years of experience providing support at the executive level (C-suite, VP, or Senior Director).

Bachelor’s degree preferred, or equivalent professional experience.

Expert proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint).

Proactive Anticipation:
The ability to stay two steps ahead, identifying potential issues and solving them before they reach the executive.

Strong verbal and written skills with the ability to interact confidently with all levels of the organization.
