Executive Assistant (Intern)

<Responsibilities>

  • Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating appointments using tools like Google Workspace.
  • Assist with event planning and logistics for company meetings, seminars, or team-building activities, ensuring all details are handled efficiently.
  • Handle phone etiquette professionally while managing multi-line phone systems and screening calls for executives.
  • Support office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.
  • Prepare documents through proofreading and transcription to ensure accuracy and clarity for reports, presentations, or correspondence.
  • Facilitate project coordination by tracking deadlines, updating project files, and assisting with administrative tasks related to ongoing initiatives.
  • Manage office supplies inventory and perform clerical duties like filing, photocopying, and front desk reception to maintain a welcoming environment.

<Experience>

  • Prior administrative or office experience is highly preferred; personal assistant experience is a plus.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Excellent typing speed and accuracy for transcription and document preparation tasks.
  • Knowledge of office management procedures including filing systems, customer service standards, and multi-line phone systems.
  • Experience with bookkeeping software such as QuickBooks or similar platforms is advantageous.
  • Exceptional communication skills with professional phone etiquette and the ability to proofread documents meticulously.
