The Team

Provide Executive Assistance support to two Executives within the Global Listings Team.

Business Unit

Nasdaq’s Capital Access Platforms division serving more than 10,000 corporate clients and 5,000 clients within the investment management ecosystem, Nasdaq occupies a strategic position at the intersection of corporate entities and investment managers. This division is designed to guide clients through the complexities of the modern financial landscape, leveraging the combined expertise of its listings, advisory, data, index, and analytics teams.

Your Role And Responsibilities

  • Identify, enhance and follow specific processes and procedures to maximize the efficiencies of the business. Ensure the correct functioning of facilities, office and / or business support services. Provide administrative support to SVPs and their teams as requested.
  • Provide primary administrative support for two senior executives and backup for other executive administrative assistants as needed.
  • Maintain executive, customer and employee confidence and protects operations by keeping information confidential.
  • Read, research, and route correspondence for executives and prepare draft letters/e-mails and correspondence.
  • Maintain hectic appointment schedule by planning and scheduling meetings, agendas, conferences, teleconferences, and travel.
  • Welcome guests and customers by greeting them, in person or on the telephone.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

You will need the following skills and experience :

  • Education Required: Bachelor’s degree
  • Experience Required: At least 2 years’ experience providing support to Business Head(s) within a global organization
  • Exceptional communication, project management, and organizational skills
  • Efficient in business software and business systems processes and approvals
  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Thrives in a fast-paced environment and has excellent problem-solving skills
  • Strong communication skills

This position is located in New York, and offers the opportunity for a hybrid work environment ( at least 4 days a week in office ), providing flexibility and accessibility for qualified candidates.

And it would be great if you have experience with:

  • Excellent MS Outlook skills, including complex diary management
  • Conversational Mandarin would be a bonus

The base pay range for this role is $55,000 - $75,000. In addition to base salary, Nasdaq provides a generous annual bonus/commission (short-term incentive), and equity (long-term incentive), comprehensive benefits, and opportunity for growth. Exact compensation may vary based on several job-related factors that are unique to each candidate, including but not limited to: skill set, experience, education/training, business needs and market demands.
