Executive Assistant of Founder/CEO

Role Overview – Executive Assistant of Founder/CEO

Job Descriptions:
This is not a routine administrative role. The Executive Assistant will work closely with the Founder & CEO to ensure meetings, discussions, and strategic initiatives are translated into clear execution. The role requires strong ownership, proactive coordination, and the ability to manage follow-ups across teams and time zones in a fast-paced startup environment.

Responsibilities:
Strategic Coordination

  • Manage and optimize the CEOs calendar across multiple time zones.
  • Coordinate meetings and communications across Singapore, UAE, US, and Pakistan.
  • Prepare structured briefs and context summaries before key meetings.
  • Maintain strict confidentiality on sensitive business matters.

Execution & Follow-Up

  • Attend online and in-person meetings.
  • Take clear, structured meeting notes.
  • Convert discussions into actionable task lists with defined owners and deadlines.
  • Ensure no task leakage by tracking follow-ups rigorously.
  • Provide the CEO with concise execution updates and briefings.

Operational Alignment

  • Coordinate across technology, finance, operations, and growth teams.
  • Track KPIs and strategic initiatives across departments.
  • Facilitate alignment and proactively address execution gaps.
  • Conduct follow-up meetings on behalf of the CEO when required.

Requirements:

  • Bachelors degree in Business, Management, or a related field
  • 2–4 years of experience in an Executive Assistant, Operations, or Coordination role (startup experience preferred)
  • Strong ability to convert meetings and discussions into clear action plans, task lists, and follow-ups
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Comfortable coordinating across multiple time zones and global teams
  • Proficient in digital collaboration tools and AI productivity tools
  • High level of professionalism, discretion, and confidentiality
  • Ability to work independently, prioritize tasks, and manage multiple responsibilities in a fast-paced environment
  • Strong attention to detail and execution mindset

Other Details:
Experience: 2 - 4 years
Location: Karachi (On-site)
Working Days: Monday - Friday
Timing: 10 AM - 6 PM
