Overview
We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and oversee daily office operations. This role is essential in ensuring smooth administrative functions, coordinating projects, and maintaining an efficient work environment. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various administrative tools and software.

Duties

  • Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using Microsoft Outlook Calendar and Google Workspace.
  • Manage office operations to ensure an organized and productive environment, including filing, data entry, and front desk responsibilities.
  • Assist with event planning for company functions, meetings, and client events.
  • Handle bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping duties such as invoicing and expense tracking.
  • Coordinate projects across departments, ensuring deadlines are met and deliverables are on track.
  • Prepare correspondence, reports, proofreading documents, and transcriptions with attention to detail.
  • Manage multi-line phone systems with professional phone etiquette; respond to inquiries promptly and courteously.
  • Oversee office supplies inventory, organize files, and maintain office equipment.
  • Support personal assistant duties as needed for executive team members.
  • Utilize office management skills to streamline processes and improve overall efficiency.

Experience

  • Proven experience in an executive assistant or office management role with a strong background in administrative support.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and DocuSign.
  • Experience with QuickBooks for bookkeeping tasks is preferred.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Excellent typing speed and data entry accuracy; capable of handling transcription tasks.
  • Prior experience with event planning, project coordination, and calendar management is highly desirable.
  • Exceptional communication skills with professional phone etiquette and customer service experience.
  • Familiarity with multi-line phone systems and office technology is essential. Job Type: Full-time

Pay: $60,000.00 - $100,000.00 per year
