This role provides high-level administrative, organizational, and operational support to the CEO of Indian Motorcycle and the broader Senior Leadership Team. In addition to executive support, this position serves as the Office Manager for the Indian Motorcycle —ensuring smooth day-to-day office operations, fostering team engagement, and maintaining an efficient, well-organized workspace.
The dynamic nature of the Global Motorcycles Business Unit requires strong cross-functional collaboration, exceptional judgment, and the ability to anticipate needs in a fast-paced, highly visible environment.
ESSENTIAL DUTIES & RESPONSIBILITIES
Executive Support

Proactively manages complex calendars, including scheduling appointments, meetings, agendas, and coordinating across multiple time zones.

Balances and prioritizes the executive’s workflow to ensure optimal time and task management.

Prepares, edits, and enhances department correspondence, communications, reports, and presentations.

Develops executive-level presentations for Monthly Operating Reviews, Management Meetings, PCI Leadership Meetings, and Board Meetings.

Coordinates on-site and off-site meetings, team events, luncheons, dinners, and conference calls.

Partners with IT, Facilities, and other internal teams to support meeting logistics and technology needs.

Greets and assists visitors and callers, ensuring a polished and professional experience.

Manages business travel, itineraries, and expense reporting.

Acts as a champion of team engagement, including supporting Team Rides and cultural initiatives.

Supports light HR administrative tasks such as new-hire onboarding, organizational charts, and document management.

Completes special projects and assignments as requested.
Office Management

Oversees daily office operations to ensure a productive, organized, and welcoming environment for the Indian Motorcycle leadership team.

Serves as the primary liaison with Facilities, IT, and other internal partners to maintain office functionality, workspace readiness, and equipment needs.

Manages office supplies, inventory, and vendor relationships as needed.

Coordinates space planning, workstation assignments, and office layout updates.

Supports planning and execution of onsite events, leadership meetings, and team-wide activities.

Ensures office policies, procedures, and standards are upheld and communicated.

Acts as a central point of contact for operational questions, office needs, and general team support.
MINIMUM EDUCATION REQUIRED

High school diploma or equivalent required; Bachelor’s degree strongly preferred.

Additional relevant education or training will be strongly considered.
MINIMUM WORK EXPERIENCE REQUIRED

7+ years of experience supporting executive-level leaders, with experience in office management strongly preferred.

Compensation & Benefits: The starting pay range for Minnesota is $80,000 to $125,000 per year. Individual salaries and positioning within the range are determined through a wide variety of factors, including but not limited to education, experience, knowledge, skills, and geography. While individual pay could fall anywhere in the range based on these factors, it is not common to start at the high end or top of the range.
