The Centre for Land Conservation (CLC) is a national nonprofit that supports and advances private land conservation across Canada. Through collaboration, capacity-building, and sector leadership, CLC works to strengthen a connected and effective land conservation community.
The Centre for Land Conservation operates as a primarily remote organization; however, team members regularly come together for strategy sessions, sector events, and Board meetings. Occasional travel is required. Preference will be given to candidates based in the Greater Toronto Area (GTA).
JOB PROFILE
The Executive Assistant & Office Operations Coordinator plays a central role in supporting the effectiveness of the CLC, with primary responsibility as Executive Assistant to the Executive Director (ED).
The Executive Assistant and Office Operations Coordinator is a trusted partner to the ED and takes on responsibility for coordinating day-to-day office operations and administrative systems to ensure the organization runs efficiently in a primarily remote environment.
The Executive Assistant & Office Operations Coordinator acts as a key liaison between the Executive Director, staff, Board members, and external stakeholders. The role requires a high degree of professionalism, discretion, and judgment, as well as the ability to manage multiple priorities and adapt in a dynamic, fast-paced environment.
Key Responsibilities
Executive support to the Executive Director

Calendar management

Coordinate travel arrangements

Maintain up to date electronic files

Support document formatting and development
-
Coordinate internal and external meetings
Governance administration/coordination

Coordinate scheduling of Centre for Land Conservation Board meetings and related committee meetings (electronic and in-person)

Prepare, coordinate, collate and circulate governance meeting materials

Attend Board and Committee meetings as to document outcomes and provide tech support.

Track progress on action registries
Financial Management
-
Track and maintain accurate records of all incoming donations, ensuring timely issuance of donation receipts in compliance with organizational and regulatory requirements.

Collect and coordinate expenses and receipts
Office Management/Ad Hoc Administrative Tasks

Track all incoming mail/correspondence

Maintain current office files
-
Oversee the operations of our developing CRM platform

Support employee onboarding
-
Respond to general inquiries via general inbox

Provide support for events, celebrations and supports implementation of teamwide training (group personal development)

Complete annual filing via Corporations Canada

Perform ad hoc admin duties such as setting up & renewing licenses for association (i.e. Microsoft 365, MS SharePoint, ADONIS, Kobo Toolbox, HubSpot, Asana)

Undertake special assignments/projects as needed

Considerable experience providing administrative support at the senior executive level
