Executive Assistant & Operations Coordinator

About the Role

We are looking for a smart, young, and proactive Executive Assistant & Operations Coordinator to support senior management and handle day-to-day office, documentation, HR, and accounts-related tasks. This role is ideal for someone fast, organized, confident, and capable of managing multiple responsibilities with professionalism and efficiency.

Key Responsibilities1) Personal & Executive Assistance

  • Act as the primary assistant to the Director/Manager
  • Manage calendar, meetings, and follow-ups
  • Handle emails, WhatsApp, and official communications
  • Prepare reports, summaries, and presentations when required
  • Coordinate travel, appointments, and scheduling

2) Office & Operations Management

  • Oversee daily office operations and coordination
  • Maintain organized filing systems (digital & physical)
  • Ensure smooth internal communication between teams
  • Handle vendor coordination and office supplies management
  • Assist with administrative and operational tasks as needed

3) Documentation & Compliance

  • Prepare and manage official documents, letters, and records
  • Maintain confidential files and records professionally
  • Assist with contracts, agreements, and official paperwork
  • Ensure proper documentation and filing procedures

4) HR Responsibilities

  • Assist with recruitment coordination and interviews
  • Maintain employee records and attendance
  • Help with onboarding of new staff
  • Coordinate with management regarding HR-related matters

5) Accounts & Finance Support

  • Assist with basic accounting documentation
  • Maintain invoices, receipts, and expense records
  • Coordinate with accountant/bookkeeper when required
  • Prepare financial summaries when requested

Required Qualifications & Skills

  • Female candidates preferred
  • Age: Young professional (preferably 22–30 years old)
  • Minimum 2 years of relevant experience in admin, operations, or executive assistance
  • Excellent English communication skills (spoken & written)
  • Fast learner, detail-oriented, and highly organized
  • Strong computer skills (MS Office, Google Workspace, Email, WhatsApp)
  • Presentable with a good personality and professional attitude
  • Ability to multitask and work under pressure
  • Trustworthy, discreet, and reliable

Job Type: Full-time

Pay: AED2,500.00 - AED3,500.00 per month
