Role Overview

We are seeking a highly organized, proactive, and service-oriented Executive Assistant to support Mayuri Baheti within the Office of the CEO at YASH Technologies. This role operates across both business and personal priorities and requires a high level of discretion, judgment, and adaptability. The Executive Assistant will serve as a trusted partner, managing scheduling, travel, communications, and coordination to ensure priorities are executed seamlessly.


The position requires someone who is comfortable operating in a fast-moving, unstructured environment, and who enjoys solving problems, taking ownership, and driving tasks to completion with limited direction. While the role sits within YASH Technologies, it extends beyond a traditional corporate scope and includes supporting select responsibilities outside the company. This is a high-trust, high-visibility position with the opportunity to grow in scope over time, potentially expanding into broader support across the Office of the CEO and family-related initiatives.


Key Responsibilities

Executive Support

  • Manage complex calendars and scheduling for senior leadership across multiple time zones
  • Prepare meeting materials, agendas, and follow-up action items
  • Assist with email coordination and professional correspondence
  • Track priorities and ensure timely follow-through on key action items


Travel & Logistics

  • Arrange domestic and international travel including flights, accommodations, and ground transportation
  • Prepare detailed itineraries and ensure seamless logistics


Communication & Coordination

  • Serve as a coordination point for internal and external stakeholders
  • Ensure clear, timely, and professional communication on behalf of leadership


Problem Solving & Execution

  • Own and execute complex, one-off tasks requiring research, judgement, and follow-through (e.g., resolving travel disruptions, reimbursements, vendor sourcing, logistics challenges)
  • Operate effectively in ambiguous situations and drive tasks to completion without step-by-step guidance
  • Proactively identify solutions rather than escalating problems


Event & Office Coordination

  • Coordinate leadership meetings, firm outings, and company offsites
  • Support day-to-day management of the Chicago offices, including vendors and facilities
  • Assist with new office setup, sourcing vendors, and ensuring a high-quality office experience
  • Source high-quality, tasteful, and on-trend options while remaining mindful of budget


Personal Administrative Support

  • Provide personal assistant support as needed, including coordinating appointments, managing reservations, handling occasional errands, researching vendors, and supporting personal logistics
  • Assist with personal and household-related projects (e.g., vendor sourcing, travel planning, coordination of services)


Special Projects

  • Support ad hoc initiatives and strategic projects within the Office of the CEO such as assisting with hiring efforts including candidate scheduling, coordination, and communication, presentation creation, and research

Qualifications

  • 5+ years of experience supporting c-suite executives, principals, family offices, or founders as an executive administrative assistant
  • Bachelor’s degree preferred
  • Must be highly literate in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Professional demeanor with refined interpersonal skills and a strong service orientation
  • Ability to maintain composure and professionalism in a fast-paced, high-output, ambitious culture
  • Outstanding organizational skills to ensure timeline execution of responsibilities
  • Excellent written and verbal communication skills, with a focus on proofreading
  • Strong interpersonal skills and a naturally service-oriented mindset
  • Ability to seamlessly manage multiple tasks with potentially shifting priorities
  • High level of professionalism, discretion, and integrity
