Description:
Scope: The Executive Assistant role is centered on assisting Chris Weaver, owner, GBB&T Bancorp President, and GBB&T Chairman of the Board, with his professional needs, inside and outside of the office. Any remaining time beyond this focus will be devoted to driving value to the Weaver Family, endeavoring to maximize the efficacy of their business, charitable, and individual pursuits.
Accountabilities:
The Executive Assistant will:
- Maintain complete confidentiality of all information related to the owner, the Weaver family, and Weaver Family interests.
- Maintain a professional and positive attitude, representing the Weaver Family in a manner that reflects dignity and respect inside and outside of the office.
- Work with Weaver leadership team including but not limited to Bancorp Board, Legal and Financial Representatives, Bancorp and Bank Consultant(s), Bank Employees, Third Party Vendors, and Weaver Family Members.
- Oversee and often coordinate, professional events and activities for the Chris Weaver family, including ongoing upkeep and maintenance of a working virtual calendar and contact lists.
- Assist in Weaver Family, Bancorp and GBB&T activities during regular working hours and at times, outside of regular working hours.
- Coordinate travel and logistics for the owner, including but not limited to business-related outings, personal outings, and family excursions.
- Assist in the planning and execution of business development events for the Weaver family, before and after work hours, both inside and outside the bank.
- In coordination with Weaver Family business consultant, oversee and maintain Weaver Business finances including but not limited to business and family reports such as the following: budgets, cash flows, financial statements, tax reports, expenses, estate plans, investments, and other reports.
- In coordination with Weaver Family Business Consultant, create and use (excel) spreadsheets that will assist in ongoing financial reporting.
- Coordinate and execute annual gifts to associates, friends, and customers, including but not limited to contact lists, vendor management, and distribution.
- Sit on various boards, committees, and groups associated with Weaver Family Charitable Giving associated with Green Belt Bancorp/Bank activities.
- Oversee the management of Weaver Family charitable giving documents, spreadsheets, and budgets.
- Oversee and often coordinate the construction of (digital) OnBoard meetings facilitated by the Weaver office, including but not limited to agendas and related materials for: Shareholder Meetings, Bancorp Meetings, T2/T4 Meetings, Board Chair/CEO Meetings, Bancorp Retreats, and others as assigned.
- Manage the upstairs of the bank, including the ongoing cleaning, operational functions, and maintenance of the owner’s office and surrounding areas.
- Work to improve upstairs operations through communication of needed improvements to ownership and the coordination of improvement projects.
- Oversee and coordinate with GBB&T and/or Green Belt Bancorp, planning of any needed capital improvements or needed equipment, on no less than an annual basis. This will include the need for new vehicles, computers, printers, upgrades to any office areas, improvements to outdoor areas (surrounding office), etc.
- Answer phone calls, scribe letters, open and sort mail, purchase office supplies and manage general communications for Weaver related business matters.
- Conduct ongoing file maintenance, both paper and digital, no less than annually, to achieve efficiency and maintain clear understanding of where critical materials are located and how to effectively find and provide them.
- Manage office supplies, materials, files (digital/paper) and other office needs.
- Work with Executive Assistant to CEO of Green Belt Bank & Trust to organize ISU Tickets and Events, as well as any other bank run events that will involve ownership, members of the Bancorp Board of Directors, or GBB&T Board of Directors.
- Complete with positive intention and initiative, all other duties assigned.

Qualifications:
Education:
- Associate’s degree in a business/administration related area.
o Bachelor’s degree a plus.
- Specific banking industry or financial education a plus.
Experience:
- Clerical, administrative, cash handling, sales, or customer service experience preferred.
- Accounting or bookkeeping experience preferred.
- Comfort with web navigation, Microsoft Office, Quick Books, and general comfort with IT, a plus.
