Credence has an immediate opening for an Executive Assistant Senior who will be primarily responsible for supporting the Air Force Life Cycle Management Center WAM (AFLCMC/WAM) directorate, F-16 division at Wright Patterson AFB, OH.

F-16 “Viper” AFLCMC/WAM is headquartered at Hill Air Force Base with units located at Wright-Patterson Air Force Base, Tyndall Air Force Base, Eglin Air Force Base, and Davis-Monthan Air Force Base. The F-16 “Viper” is a multi-role fighter jet delivering air-to-air, air-to-ground, and surveillance capabilities for the United States Air Force (USAF) and Coalition Partners.

The F-16 program has the largest Foreign Military Sales (FMS) program in U.S. history producing over 4,500 jets for 24 countries. Each F-16 FMS case is uniquely tailored to country requirements / development / funding. Presently, FMS production orders exist through 2030. Additionally, the F-16 program includes the Multi-National Fighter Program (MNFP). MNFP is not a typical FMS program, but a unique, cooperative USAF and development program implemented through the FMS process under the framework of a Memorandum of Understanding (MOU). MNFP began in 1975 with the countries of Belgium, Denmark, the Netherlands, and Norway; Portugal joined in 200.

Responsibilities include, but are not limited to the duties listed below:

  • The Executive Assistant shall assist to receive and screen incoming calls and visitors, determine priority matters, and alert executives according to established instructions and independently execute familiar assignments in accordance with standard procedures. The Contractor shall inform executives of important matters and deadlines. The Contractor shall assist to anticipate need for information, gathers and summarizes information, and refers telephone calls or visitors to appropriate staff; or provides requested information. The Contractor shall assist to receive, sign for, and distribute mail.
  • Maintain executive master schedules and calendars. The Contractor shall assist to schedule appointments and meetings built on knowledge of commitments, precedents, workload and current issues of importance, and synchronize with corresponding personnel as necessary. The Contractor shall assist to coordinate availability with others to minimize conflicts in scheduling. The Contractor shall assist to inform executive staff of commitments and potential conflicts and shall reschedule appointments when required and contact appropriate personnel.
  • Assist to advise preparers of any deviations or inadequacies and any required formal internal and external coordination with other offices; advise F-16 workforce concerning information to be provided by the subordinate organizations for executive utilization. The Contractor shall assist to ensure correspondence has been reviewed by the appropriate chain of command and is in administrative order (e.g., staff summary sheet or other document packaging requirements, format, grammar and spell check, punctuation, and acronyms spelled out). The Contractor shall implement final minor edits in preparation for executives’ review and approval.
  • Shall assist to prepare announcements or data calls with published due dates and staffing format, track responses and consolidate input; may be required to assimilate data under suspense and draft responses.
  • Assist to arrange for domestic and foreign travel based on known preferences of the traveler, mission intentions, and in accordance with appropriate travel regulations. The Contractor shall assist to develop itineraries, coordinate reservations and transportation, and prepare USG personnel travel orders in DTS. The Contractor shall assist to provide instructions to travelers in regards to trip specifics, meeting agendas and itineraries, obtaining visas and passports and other necessary travel documents as needed.
  • Assist in organizing and preparing for F-16 workforce events and ceremonies; obtain supporting provisions and preparing presentation materials; ensuring availability of awards, decorations, mementos, and handouts. The Contractor shall serve as a focal point for executive staff events and logistics planning or assist project officers making arrangements for military sponsored events.
  • Monitor or escort visitors including general officers, distinguished DoD visitors, foreign officers, high ranking personnel from other government agencies and other executive civilian visitors to the F-16 Division. The Contractor shall assist to provide temporary administrative support to visiting executives and assist with non-technical issues related base operations, to include but not limited to, providing directions and familiarity with local area and visitor pass information. The Contractor shall support other fighter divisions, such as business operations or security, to coordinate visitor requests, physical security measures, facility management or custodian services service calls.

Requirements

  • Minimum of an active Secret security clearance.
  • Master’s or Doctoral Degree in a related field and a minimum of ten (10) years of experience in the respective technical / professional discipline being performed, at least five (5) of which must be in the DoD
  • OR, Bachelor’s Degree in a related field and a minimum of twelve (12) years of experience in the respective technical/professional discipline being performed, five (5) of which must be in the DoD
  • OR, a minimum of fifteen (15) years of directly related experience with proper certifications as described in the PWS labor category performance requirements, eight (8) of which must be in the DoD.
  • Specialized Experience: Recommend ten years of administrative or management analyst support experience; recommend two years of experience working in a DoD acquisition program office. Recommend knowledge of military organizational structures and chain of command. Recommend familiarity with DoD and USAF protocol, military customs and courtesies.
