Position Summary

The Executive Assistant & Strategic Officer serves as a trusted partner to the CEO, CMO, and CFO, providing high-level executive support while driving strategic initiatives across the organization. This role blends administrative excellence with operational insight, enabling leadership to effectively advance the mission of delivering high-quality, accessible, and equitable healthcare to underserved populations.

The incumbent plays a critical role in aligning clinical, operational, and financial priorities; facilitating cross-functional collaboration; and ensuring the execution of key strategic objectives in a fast-paced, mission-driven environment.

Key Responsibilities

Executive & Administrative Leadership

  • Provide proactive, high-level administrative support to the CEO, CMO, and CFO, including calendar management, meeting coordination, travel arrangements, and correspondence.
  • Serve as a gatekeeper and liaison between executives, board members, staff, and external stakeholders.
  • Prepare agendas, briefing materials, presentations, and follow-up documentation for executive and board meetings.
  • Draft, review, and manage correspondence, reports, presentations, and official documents.
  • Maintain strict confidentiality and exercise sound judgment in handling sensitive information.

Strategic Planning & Execution

  • Partner with executive leadership to develop, implement, and monitor strategic plans and organizational priorities.
  • Track key performance indicators (KPIs) across clinical, operational, and financial domains; prepare executive dashboards and reports.
  • Lead and support special projects, including quality improvement initiatives, service line expansion, and grant-related programs.
  • Ensure alignment with FQHC Look-Alike requirements, including HRSA compliance, reporting, and program expectations.

Operational Coordination

  • Facilitate communication and coordination between clinical, administrative, and financial departments.
  • Support workflow optimization and process improvement initiatives across the organization.
  • Assist in policy development, implementation, and monitoring to ensure regulatory compliance and operational efficiency.
  • Coordinate leadership meetings and ensure timely follow-through on action items.

Board & Governance Support

  • Coordinate Board of Directors and committee meetings, including scheduling, agenda preparation, and documentation.
  • Ensure compliance with governance standards, bylaws, and regulatory requirements.
  • Maintain official records, minutes, and documentation for audits and accreditation purposes.

Data, Reporting & Analytics

  • Analyze organizational data to support decision-making by executive leadership.
  • Participate in Preparing reports for HRSA, UDS (Uniform Data System), and other regulatory bodies.
  • Monitor performance trends and identify opportunities for improvement.

External Relations & Stakeholder Engagement

  • Represent executive leadership in communications with community partners, vendors, and regulatory agencies.
  • Support grant writing, reporting, and partnership development efforts.
  • Assist in planning community outreach and engagement initiatives aligned with the organization’s mission.

Qualifications

Education & Experience

  • Bachelor’s degree in Healthcare Administration, Business Administration, Public Health, or related field (Master’s preferred).
  • Minimum of 5+ years of experience supporting senior executives, preferably in a healthcare or FQHC environment.
  • Experience with strategic planning, project management, or healthcare operations strongly preferred.

Knowledge, Skills & Abilities

  • High level of discretion, professionalism, and cultural competence.
  • Ability to learn and understanding of FQHC/Look-Alike operations, HRSA requirements, and healthcare regulations.
  • Exceptional organizational, project management, and multitasking abilities.
  • Advanced proficiency in Microsoft Office Suite (especially Excel and PowerPoint) and data reporting tools.
  • Excellent written and verbal communication skills.
  • Ability to think strategically while executing tactically.
  • High level of discretion, professionalism, and emotional intelligence.
  • Strong analytical and problem-solving skills.

Work Environment & Expectations

  • May require occasional evening or weekend work for board meetings or special projects.

Mission Alignment

Pay: $70,000.00 - $80,000.00 per year
