A Global Billion-Dollar Hedge Fund in Midtown Manhattan is seeking a new Senior Executive Assistant to support one of its top C-level executives. This is a 1:1 support role and they are looking for the “cream of the crop!” The person in the role now has been with the company for 7 years and is leaving to attend grad school full-time. Candidates must have a minimum of 7-10+ years of applicable senior/C-level and/or Global Head executive administrative experience, ideally within financial services or at a global, well-known/recognizable firm or company, and a Bachelor’s degree is required (no jumpy resumes!). The ideal candidate should be extremely polished and professional, intellectually curious, intuitive, detail-oriented, resourceful, trustworthy, and a self-starter who has demonstrated the ability to function independently in a fast-paced, dynamic and demanding environment. They should also possess excellent interpersonal and communication skills (both verbal and written) and be able to interact with all executive levels. Hours are 7:30/8:00am-5:30/6:00pm, with flexibility as needed. 5 days in office.
Responsibilities:

Regularly exercise discretion and judgement in important matters, including planning events and scheduling meetings and appointments for Executive.

Manage and maintain a busy and ever-changing calendar for Executive.

Possess the authority to carry out major assignments impacting business operations.

Drive projects with limited supervision from Executive.
-
Create project status reports and presentations.
-
Compile and disseminate project documentation and reports as required.

Organize and arrange both onsite and offsite meetings and handle other event planning duties.

Responsible for office management duties, including purchasing and maintaining supply inventory, handling guest registration, facilitating maintenance requests, and liaising with building management.

Coordinate domestic/international travel arrangements and detailed itineraries via internal travel department.

Answer phones and retrieve voicemails daily.

Manage, organize, and maintain accurate files.
-
Act as liaison between Executive and business colleagues.

Oversee logistics of office moves, partnering with Facilities team.

Provide personal support as needed, including handling requests pertaining to real estate, liaising with household employees, processing insurance requests (employee, home, car), booking personal travel, etc.

Serve as trusted thought partner and gatekeeper to Executive.

Enable the Executive’s office to function efficiently through effective communication, operational oversight, and alignment with broader organizational goals.

Streamline communication processes through the execution of corporate communications on behalf of the Executive with a complete understanding of tone, approach, and messaging.

Oversee the planning and execution of the Surveyor annual Town Hall, quarterly social events, and annual holiday party.

Partner with company’s philanthropy team to organize regional in-office charity events.

Manage a dynamic and inclusive business newsletter and in-office collaboration events.

Serve as a culture carrier, consistently building a culture of inclusion and high-performance that resonates throughout the workplace and team.
Required Qualifications:

Minimum 7-10+ years of applicable senior/C-level and/or Global Head executive administrative support experience, ideally within financial services or at a global, well-known/recognizable firm or company.

Project management experience a plus.

Bachelor’s degree required.

Excellent interpersonal and communication skills (grammar, written, and oral).

Proven record of successful problem solving.

Excellent critical thinking and analytical skills.

Superior organizations skills and record-keeping, and strong attention to detail.

Requires some flexibility with work schedule.

Adaptable and flexible to changes, with the ability to work in a fast-paced environment.
