Job Title: Executive Assistant to Managing Director

Job Summary
The Executive Assistant provides high-level administrative support to the Managing Director, ensuring seamless operations, effective time management, and confidential handling of sensitive information. This role acts as the primary point of contact for internal and external stakeholders, managing schedules, communications, and special projects in a fast-paced manufacturing/agribusiness environment. The ideal candidate is proactive, detail-oriented, and adept at prioritizing tasks to support strategic decision-making using AI-enhanced workflows.
Key Responsibilities
- Manage the Managing Director's calendar, including scheduling meetings, appointments, travel arrangements (domestic and international, including Star Alliance bookings), and resolving conflicts to optimize productivity.
- Prepare and edit correspondence, reports, presentations (using PowerPoint/Excel), and documents; handle confidential matters with utmost discretion, including HR policies, procurement contracts, and executive communications.
- Coordinate board meetings, executive team briefings, and stakeholder engagements, including preparation of agendas, minutes, and follow-up actions.
- Act as a liaison between the Managing Director, senior leadership (e.g., HR, Operations, Procurement), employees, and external partners such as suppliers, regulators, and airline loyalty program coordinators.
- Oversee travel logistics, expense reporting, and visa arrangements; monitor and reconcile executive budgets using tools like Excel or Smartsheet integrated with AI automation.
- Handle ad-hoc tasks, including event planning for corporate gifts, team-building activities, or regional business travel.
Qualifications and Skills
- Bachelor's degree in Business Administration, HR, or related field (MBA preferred for analytical roles).
- Minimum two years of experience using AI tools (e.g., AI scheduling assistants, chatbots for ERP/CRM integration, automation platforms like Zapier or Fireflies AI) in executive support, manufacturing, agribusiness, or corporate settings.
- Excellent communication skills in English and Tamil; familiarity with corporate compliance in India (e.g. Sales analysis Report).
- Strong organizational skills with ability to multitask in a high-pressure environment; demonstrated data analysis for reporting and dashboards using AI.
Compensation and Benefits
- Salary Range: Rs. 15,000 to 20,000 per month (based on experience and performance). Other benefits like PF, ESI, LTA, Yearly Bonus and Gratuity
