Role Overview
An Executive Assistant to a Business Coach provides high-level administrative, operational, and coordination support to ensure smooth day-to-day functioning. The role requires strong organisation, communication, discretion, and the ability to manage multiple priorities in a fast-paced, client-facing environment.
Key Responsibilities
1. Calendar & Schedule Management
- Manage complex calendars, appointments, and coaching sessions
- Coordinate meetings, workshops, webinars, and events
- Prioritise schedule based on business goals and deadlines
2. Client & Communication Management
- Serve as the primary point of contact for clients
- Manage emails, follow-ups, and client onboarding communication
- Maintain professional relationships and ensure excellent client experience
3. Operational Support
- Prepare presentations, reports, and coaching materials
- Maintain CRM, databases, and client records
- Support program launches and course coordination
4. Project & Task Coordination
- Track action items from coaching sessions
- Coordinate with vendors, partners, and internal teams
- Ensure deadlines, deliverables, and workflows are followed
5. Administrative & Business Support
- Handle travel arrangements and logistics
- Assist with invoicing, documentation, and basic bookkeeping coordination
- Manage digital files, SOPs, and business documentation
Required Skills & Qualifications
- Bachelor’s degree or equivalent experience
- Excellent written and verbal communication
- Strong organisational and time-management skills
- High attention to detail and confidentiality
- Proficiency in Google Workspace, MS Office, and scheduling tools
