Executive Assistant to CEO

FLSA Status: Exempt / Full-Time

Hope's Door New Beginning Center is seeking an Executive Coordinator to the CEO to support the CEO by creating structure, managing priorities, and ensuring that key initiatives, meetings, and communications move forward consistently. This role serves as a critical partner in day-to-day operations-helping the organization run more smoothly and effectively.
This is a unique opportunity for someone who wants a front-row seat to nonprofit leadership, including exposure to board engagement, community partnerships, and major organizational initiatives.

Direct Report:Chief Executive Officer

LOCATION: GarlandPlano Offices | Hybrid with in-person community engagement

SCHEDULE:Flexible scheduling, to include regular business hours, as well as some evenings and weekends as needed.

Major Responsibilities:
Executive SupportPriority Management

  • Manage CEO calendar with a focus on priorities and time protection

  • Draft and respond to emails on behalf of the CEO, as appropriate

  • Help filter requests and flag what requires CEO attention

MeetingFollow-Through Management

  • Prepare agendas, materials, and notes for key meetings

  • Track action items and follow up with team members to ensure completion

  • Keep projects and conversations moving forward after meetings

BoardLeadership Support

  • Coordinate board and committee meetings, including scheduling and materials

  • Compile board packets, dashboards, and presentations

  • Support CEO with meeting preparation (talking points, summaries)

Project Coordination

  • Track progress on key initiatives (events, capital campaign planning, etc.)

  • Maintain simple systems to monitor deadlines and responsibilities

  • Provide consistent follow-up to keep priorities on track

AdministrativeOperational Support

  • Coordinate logistics for meetings, events, and travel

  • Maintain organized systems for files, contacts, and internal workflows

  • Assist with light tracking of donor or stakeholder follow-up

Qualifications and Experience:

Required Qualifications:

  • 2–4 years of administrative, executive support, or project coordination experience

  • Strong organizational and time management skills

  • Excellent written and verbal communication

  • Comfortable managing multiple priorities in a fast-paced environment

  • High level of professionalism, discretion, and follow-through

  • Willingness to follow up and help keep others accountable in a supportive way.

  • Ability to maintain client confidentiality and agency confidentiality.

  • Ability to follow proper safety protocols and agency policies to ensure safety and well-being of the adult/child(ren) clients.

  • Physical Requirements: Duties are usually performed seated with occasional periods of standing or walking. Limited physical effort is required associated with lifting and carrying objects (less than 25 lbs.).

Working Conditions:

  • Work must be performed in the agency office and/or via Telework options as necessary.
