01. ABOUT THE COMPANY
Dizzaract is a product-driven company operating at the intersection of gaming, digital platforms, and AI. We build and scale multiple products — including Farcana 2.0, Gamed, and FAR Labs — each exploring a different space, but united by a shared approach: moving fast, staying curious, and focusing on things that people actually use. We operate as a collaborative, non-hierarchical team where ideas are valued based on their impact, not their origin, and where AI is embedded across everything we build — from infrastructure to product decisions.
02. ABOUT THE ROLE
We are looking for an Executive Assistant to the CEO. This is not about coffee, calendars, and passive support. You will be the CEO’s force multiplier, owning execution tracking, decision pipelines, and cross-team follow-through across gaming, AI, and product initiatives. You will operate as Mission Control: ensuring that nothing falls through the cracks, that decisions turn into outcomes, and that the CEO stays focused on what only they can do. If you’ve ever been annoyed by silent blockers, unclear ownership, or meetings without outcomes — you’ll fit right in.
03. WHO YOU ARE
You understand that your job is to make the CEO exponentially more effective by owning systems, protecting time, and driving execution.
You don’t just take notes. You track action items, chase owners, escalate blockers, and close loops. You hate open loops as much as the CEO does.
You know how to build lightweight but ruthless systems (ClickUp, Jira, Notion) for task capture, decision logs, and weekly sprints. You bring order without bureaucracy.
You handle sensitive strategy, finance, and people matters with absolute trust. You know when to speak up, when to stay quiet, and how to be a sounding board without overstepping.
You don’t wait to be asked. You see what’s coming; a decision needed, a risk emerging, a pre-read missing — and you handle it before it becomes a problem.
You run daily follow-ups, maintain RAG status, and escalate constructively. You keep ego out and ownership in.
04. RESPONSIBILITIES
Act as the CEO’s primary leverage point by managing priorities, deadlines, and information flow. Protect the CEO’s time by filtering requests, enforcing agendas, and eliminating low-value meetings. Maintain a Decision Pipeline with clear context and deadlines.
Join key meetings (in-person and virtual) to capture decisions, action items, owners, due dates, and dependencies. Maintain a single source of truth across ClickUp, Jira, or Notion, including weekly sprint views, clear “done” definitions, and RAG status. Run daily follow-ups and escalate blockers quickly.
Own the CEO’s calendar end-to-end: agenda setting, pre-reads, desired outcomes, and ensuring only necessary attendees are invited. Optimize physical meeting days (e.g., Dubai days) by clustering meetings by location and time. Run a structured daily rhythm: 10-min morning briefing + 10-min evening debrief.
Track key initiatives across gaming, AI, and product teams to ensure accountability. Assist with structuring ideas, briefs, notes, and summaries. Support board meeting prep, investor updates, and partnership materials. Maintain decision logs and ensure outcomes are communicated and executed.
Implement a lightweight operating rhythm: weekly planning, weekly review, and KPI snapshots from team leads. Track outputs and delivery — not hours. Maintain a cross-team dependency map to prevent silent blockers.
Evaluate, implement, and enforce systems for speed and clarity: task management frameworks, documentation standards, decision logs, meeting templates, and OKRs or quarterly goals.
Draft, review, and manage high-stakes communication on behalf of the CEO when required. Maintain an external stakeholder list (investors, partners, ecosystem) with touchpoint calendar, last contact, next action, and key notes.
Manage selected personal and business tasks: document management (IDs, licenses, renewals), banking coordination, tracking recurring payments and subscriptions. Maintain a clear admin dashboard showing pending, completed, or awaiting approval.
Coordinate visas, insurance, book flights and hotels.
Handle sensitive information related to strategy, finance, partnerships, and people matters with absolute discretion. Act as a trusted sounding board while maintaining professional boundaries and judgment.
