Executive Assistant to CEO – HR, Operations & Marketing

Location: Dubai (Hybrid Remote 30% + Meetings/Events 70%)
Schedule: 6 days/week
Reporting to: CEO

Role Overview

Esperia Volleyball Academy is seeking an experienced Executive Assistant with experience in HR, Operations and Marketing to support the CEO.

This is a strategic support role for a proactive, reliable, highly organized individual capable of managing multiple projects, people, and deadlines. You will work closely with the CEO and be involved in the academy’s most important processes across HR, operations, marketing, and administration.

Key ResponsibilitiesHR & Staff Coordination

  • Create weekly and monthly schedules for coaches and staff.
  • Monitor attendance, leaves, and replacements.
  • Prepare payroll data and ensure accurate monthly HR reporting.
  • Handle staff communications, reminders, follow-ups, and performance notes.
  • Maintain updated HR files and logs.

Operational & Administrative Support

  • Support the CEO in day-to-day operations, prioritizing deadlines and tasks.
  • Coordinate with various teams (coaching, venue staff, admin, third parties).
  • Assist in organizing events, tournaments, workshops, and internal meetings.
  • Maintain organized records on Google Drive, Sheets, and Docs.
  • Ensure smooth workflow between marketing, operations, and customer service departments.

Marketing & Social Media Coordination

  • Oversee social media agency performance and deliverables.
  • Review content calendars, captions, and reports before CEO approval.
  • Coordinate photo/video content with photographers and venue team.
  • Monitor marketing KPIs and ensure consistency with Esperia brand identity.
  • Provide ideas for campaigns, promotions, and season launches.

Client Communication Systems

  • Assist in managing CRM workflows via SleekFlow (segmenting, broadcasts, updates).
  • Ensure correct information is communicated through WhatsApp channels and email newsletters.
  • Coordinate messages for season launches, changes, and announcements.

Requirements

  • Minimum 3–5 years of experience in HR, operations, executive assistance, or coordination roles.
  • Excellent organizational, time-management, and multitasking abilities.
  • Proficient in Google Workspace, CRM systems, WhatsApp business tools, and online booking platforms.
  • Strong English communication skills, both written and spoken.
  • Ability to take initiative, anticipate needs, and work with minimal supervision.
  • Trustworthy, confidential, and professional.
  • Ability to manage fast-moving projects and prioritize effectively.
  • Creative mindset and interest in marketing is a plus.
  • Tech-savvy and comfortable learning new systems quickly.

Job Type: Full-time

Pay: AED6,000.00 - AED8,000.00 per month
