Executive Assistant to Chief Executive Officer

Immediate hiring for an efficient and reliable EA to support our executive team. The ideal candidate will be highly organized, detail-oriented, and capable of handling a wide range of assistant, administrative, and travel-related tasks.

Key Responsibilities:
  • Executive Support:
    • Provide high-level administrative support to executives, including managing calendars, scheduling appointments, and coordinating meetings.
    • Handle confidential information with utmost discretion and professionalism.
  • Administrative Support: Provide executive-level support to executive(s) , including managing calendars, scheduling meetings, and making travel arrangements.
  • Communication Management: Act as the first point of contact between the executives and internal/external stakeholders. Handle correspondence (emails, phone calls, etc.) and prioritize as necessary.
  • Documentation & Reporting: Prepare reports, presentations, and other documents as required by the executive(s). Ensure documents are accurate, organized, and timely.
  • Meeting Coordination: Organize and schedule meetings, conferences, and events. Take meeting minutes and follow up on action items.
  • Project Management: Assist in coordinating and executing various special projects, ensuring deadlines and deliverables are met.
  • Travel Management: Organize travel arrangements, including flights, accommodations, and itineraries for executives and teams.
  • Expense Management: Track and process expenses for executives and prepare reports as necessary.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
  • Technology Proficiency: Proficient in a variety of computer software applications, including Google Workspace, Microsoft Office Suite (Word, Excel, Outlook, and Access).
Qualifications:
  • Experience: Minimum of 3-5 years of experience in an administrative.
Skills:
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of discretion and professionalism.
  • Multi-tasking and time-management skills, with the ability to prioritize tasks.
