Executive Assistant to CIO, Silver

Summary/Objective


A seasoned and polished Executive Assistant to provide senior level administrative support to Chief Investment Officer (CIO). Deal with many incoming requests independently in close coordination with the CIO. Assist with planning, organizing and coordinating the administrative aspects of the Executive office functions. Coordinate key meetings and calls, coordinate travel, process expense reports, maintain files and assemble and produce quarterly Board books. Assist the CIO in leveraging her time by representing her in communications internally and externally, where possible.

  • Independently screen and deal with incoming requests
  • Provide administrative assistance to the CIO
  • Schedule and coordinate key meetings and calls
  • Assemble, produce and distribute quarterly Board books
  • Maintain files related to Private investments (more than 150 funds)
  • Assist in organizing and tracking philanthropic giving against pledge agreements
  • Track key deadlines
  • Assist in overall office support such as receptionist function
  • Maintain Corporate Minute Books for multiple entities

Understands Sr. Executives’ needs and preferences. Basic knowledge and understanding of business and finance. Inter-personal skills, excellent written and verbal communication and negotiating skills, high ethics and confidentiality, superior organizational skills. Punctual, well organized, self-motivated, confidential, efficient, assertive communicator; exercises good judgment, and able to juggle many things at once. Excellent customer service skills. Proficiency in MS office products and Adobe.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
This is a largely sedentary role; however, some filing is required, which would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.


Position Type and Expected Hours of Work

This is a full-time position, and typical work hours are Monday through Friday 8:00 a.m. to 5 p.m. Some flexibility in hours is needed, but the associate must work 30 hours each week to maintain full-time status.


Required Education and Experience

Minimum of 10 years working experience as Admin/Exec Assistant or Two years college. Degree preferred but not required. Experience in providing executive level support. Experience dealing with Boards of Directors. Experience in legal, accounting or investment industries a must. Paralegal experience a huge plus.
