Executive Assistant / Personal Assistant to Entrepreneur (Full-Time)

Who You’ll Be Working With

Alex Micol is a very successful, down-to-earth entrepreneur with a life that moves fast.

He’s behind multiple ventures - from launching conferences and leading the “Scalers” affiliate training programme to building luxury villas in Bali and overseeing international property developments. His world spans fast-moving online businesses, international travel, events, and high-level relationships.

This role is all about keeping both his personal/lifestyle world and the business side running smoothly: ensuring operations are seamless, payments are tracked, travel and events are organised, and communication flows effortlessly between Alex, his wider team and his network.


Your Mission: Protect the CEO’s time as if it’s your most valuable asset — because it is. Your mission is to make every day feel organised, intentional, and effortless.


Role Overview

You will act as Alex’s right hand across two core areas:


1. Lifestyle & Personal Management
  • Oversee household operations, maintenance schedules, and supplier coordination.
  • Manage personal shopping, gifting, and ad-hoc personal errands.
  • Plan and coordinate social events, dinners, private functions, and family commitments.
  • Handle travel bookings, visa arrangements, and concierge-style requests (often last-minute).
  • Source, evaluate, and liaise with service providers (drivers, chefs, cleaners, contractors, etc.).
  • Ensure properties (e.g. Dubai, Bali) and personal projects are handled with care.
  • Maintain confidentiality and discretion at all times regarding personal and family matters.

  • 2. Business & Executive Support
    • Act as a trusted gatekeeper for all business matters, managing Alex’s professional calendar, meetings, and deadlines.
    • Manage complex diaries and travel itineraries (domestic and international).
    • Have oversight on incoming and outgoing payments, ensuring follow-up on invoices, receipts, and financial commitments.
    • Coordinate with internal teams, contractors, and external partners to keep projects on schedule and aligned with priorities.
    • Prepare and maintain reports, spreadsheets, and simple dashboards for visibility on performance and outstanding actions.
    • Organise business travel, meetings, conferences, and podcast/speaking engagements.
    • Handle high-level correspondence and respond on Alex’s behalf where appropriate
    • Maintain confidential files and manage sensitive information with absolute discretion.
    • Anticipate operational needs, resolve issues proactively, and keep Alex informed without overloading him.

    • Efficiency in the calendar – Clear, contextual, no surprises
    • Every interaction feels appreciated – Whether it’s a “yes” or “not right now”, people get clear responses.
    • Read the play – Zoom in and out (day → week → month → quarter) and stay ahead of moving pieces.
    • Prioritise revenue and impact – Order tasks based on what drives growth or protects profit.
    • Capture preferences – Ask once, document, and systemise.

  • Key Areas of Responsibility (Snapshot)

    Calendar & Time Management

    • Design and protect Alex’s “perfect week”.
    • Batch calls, avoid dead space, and schedule drive time and buffers.
    • Create complete calendar invites (agenda, context, links, phone numbers, time zones).
    • Look 6+ weeks ahead to avoid conflicts and keep travel/family/business aligned.


    Email & Communication Management

    • Process Alex’s inbox twice daily with an aim for Inbox Zero at agreed times.
    • Label, sort, and prioritise emails; Alex only sees what requires him.
    • Reply on his behalf using approved templates and tone.
    • Decline non-aligned invitations (events, collabs, investments) gracefully.


    Admin Syncs & Meeting Rhythm

    • Maintain an evolving admin meeting agenda (recent meetings, follow-ups, projects, questions).
    • Run structured admin meetings that are fast, focused, and outcome-driven.
    • Capture and track action items through to completion.


    Travel, Events & Speaking

    • Own all travel logistics: flights, hotels, ground transport, itineraries, reminders.
    • Build and maintain “Trip Files” in Google Drive with all relevant details.
    • Block the calendar correctly for travel days, prep time, recovery days, and events.
    • Coordinate podcasts, speaking gigs, recordings, and founder dinners – including follow-ups and requests for raw footage.


    Household & Personal Coordination

    • Coordinate deliveries, logistics, and errands.
    • Schedule personal appointments as requested
    • Assist with purchasing and gifting


    Operational & Financial Support

    • Keep an eye on expenses and key financial admin related to Alex’s activities.
    • Track project progress and deadlines; ensure nothing falls through the cracks.
    • Liaise with team members and external partners, acting as a central point of coordination.


    Requirements
    • Experience:
    • Prior experience supporting high-profile or high-net-worth individuals, or a fast-paced entrepreneur/senior executive.
    • Proven track record as an Executive Assistant, Business PA, or similar operations/admin role.


    • Skills & Traits:
    • Exceptional organisational skills and meticulous attention to detail.
    • “Nothing is too much trouble” attitude; calm under pressure.
    • Strong calendar and inbox management across time zones.
    • Confident with numbers, payment tracking, and basic financial admin.
    • Highly presentable with outstanding interpersonal and communication skills.
    • Discreet, trustworthy, and comfortable handling confidential information.
    • Tech-savvy and comfortable with project management tools, cloud docs, and booking platforms.
    • Happy to roll with last-minute changes and shifting priorities.


    • Nice to Have (Dubai-Specific):
    • Strong knowledge of Dubai’s service providers, venues, and events scene.
    • Valid UAE driver’s licence.
    • Ability to travel internationally as needed.
    • Fluent in English (additional languages a plus).
