Responsibilities
- Deliver a polished front-office client experience
- Greeting clients, maintaining inventory in the front office (Client beverages & Snacks)
- Manage calendars, appointments, and client communications
- Prep meeting materials and maintain CRM (FileMaker)
- Track follow-ups and keep opportunities moving
- Coordinate estate planning and internal workflows
Skills
- Proven experience in executive administrative support or office management roles within the Financial Industry.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Excellent typing speed combined with proficiency in data entry, proofreading, transcription, and clerical tasks.
- Familiarity with financial platforms such as (Schwab, Fidelity, RedTail, etc.)
- Exceptional customer service skills with professional phone etiquette across multi-line systems.
- Advanced computer literacy including Microsoft Office (Word, Excel, PowerPoint), and email management tools like Microsoft Outlook Calendar.
- Experience in event planning and project coordination to facilitate meetings, seminars, or client events smoothly.
- Ability to handle confidential information discreetly while maintaining accuracy in record keeping.
- Strong office experience including filing systems, front desk duties, and general clerical responsibilities. Pay: $65,000.00 - $75,000.00 per year
