We are seeking a highly organized, discreet, and proactive Female Executive Assistant to provide dedicated support to our Human Resources Manager. This is a critical role that serves as the backbone of the HR department, ensuring smooth operations, managing confidential information, and facilitating effective communication. The ideal candidate is a master of logistics, a clear communicator, and thrives in a dynamic, people-focused environment.
Key Responsibilities:
Executive & Administrative Support:
- Manage the HR Manager’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as the first point of contact for the HR Manager, screening emails and phone calls, and handling inquiries with professionalism and discretion.
- Prepare and edit correspondence, communications, presentations, and reports on behalf of the HR Manager.
- Organize and prepare for meetings, including drafting agendas, gathering documents, and taking minutes.
HR Department Support:
- Assist with the coordination of the employee lifecycle events, such as new hire orientations, promotions, and exit interviews.
- Help maintain and update HR records in our HRIS (Human Resources Information System) with a high degree of accuracy.
- Support the recruitment process by scheduling interviews and coordinating communication with candidates.
- Assist in the planning and execution of company-wide events, training sessions, and employee engagement initiatives.
Confidentiality & Project Management:
- Handle sensitive and confidential information with the utmost integrity and discretion.
- Assist with special HR projects, such as policy updates, benefits enrollment, and diversity & inclusion initiatives.
- Conduct light research and compile data to support HR strategy and decision-making.
What We're Looking For:
- English: Excellent written and spoken English
- Experience: 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role, preferably within an HR department or supporting senior leadership.
- Tech Savvy: High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with HRIS platforms (e.g., Workday, BambooHR, ADP) is a strong plus.
- Exceptional Communicator: Outstanding verbal and written communication skills, with the ability to interact professionally with employees at all levels.
- Organizational Mastermind: Impeccable organizational and time-management skills, with the ability to prioritize multiple tasks seamlessly in a fast-paced environment.
