Boutique Investment Advisory Firm (Hedge Fund) in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to join its growing team! This person will be supporting the Investment Team (4+ executives). This role is central to the day-to-day functioning of the firm and touches calendars, travel, guests, recruiting, office operations, and internal systems. The ideal candidate thrives in a fast-paced environment, enjoys interacting with people, and takes pride in creating order, leverage, and efficiency across an organization. Candidates must have a minimum of 5+ years of applicable executive administrative support experience (finance experience is a must) and a Bachelor’s degree is required. Ideal candidates should be polished and professional, smart, eager, proactive, detail-oriented, organized, and tech-forward/savvy. Salary depends on experience (120-150k+) plus discretionary bonus eligibility (all in-140-175k total comp), 100% company paid benefits, 401k, beautiful office, catered lunch (Monday-Thursday), breakfast every day, etc.

Hours are 7:45am-4:45/5:00pm, with flexibility as needed. 5 days in office.
Responsibilities:

Provide support for investment professionals, including complex calendaring, meeting coordination, and booking domestic and international travel.

Manage office visits and guest reception, coordinate conference rooms, and oversee video conferencing and multi-party calls.

Oversee office operations such as vendor management, office supplies, and day-to-day administrative needs to ensure smooth firm operations.

Use and help build systems leveraging tools such as Excel, productivity software, and AI to improve organization, efficiency, and scalability.

Assist with recruiting logistics, manage candidate flow, and communicate with candidates throughout the interview process.

Organize internal events and social outings and contribute positively to office culture.
Required Qualifications:

Minimum 5+ years of applicable executive administrative support experience (finance is a must; public markets preferred).

Bachelor’s degree required.

Exceptional interpersonal and written and verbal communication skills.

Proficiency in Excel, familiarity with productivity tools, and openness to using AI/LLMs.

Highly organized, proactive, and detail-oriented, with the ability to operate independently.

Strong contextual intelligence: able to understand the “question behind the question” and act accordingly.

Energized by variety, fast pace, and frequent context switching; comfortable managing many parallel workstreams.

Naturally communicative and comfortable engaging with a wide range of people and situations.
