Executive Assistant to MD

Position Overview

We are seeking a highly organized, detail-oriented, and professional Executive Assistant to support our senior executives and ensure the smooth operation of our organization. The ideal candidate will play a pivotal role in managing administrative responsibilities, coordinating internal and external communications, and providing comprehensive assistance to the Director.

Key Responsibilities

  • Act as the primary point of contact for all matters related to the Director's office.
  • Manage and monitor the Director's mailbox; draft responses and maintain organized communication flow.
  • Handle incoming phone calls and follow up on assigned tasks.
  • Coordinate with internal staff to ensure timely completion of assignments delegated by the Director.
  • Follow up rigorously with vendors, clients, project managers, and other stakeholders to ensure deadlines are met.
  • Maintain and update data using MS Excel; generate reports as required.
  • Draft official correspondence, letters, minutes of meetings, and internal notes using MS Word.
  • Ensure effective delegation of routine tasks on behalf of the Director.
  • Take shorthand notes as required.
  • Perform any other administrative tasks as assigned from time to time.

Required Qualifications & Experience

  • Graduate from a recognized secretarial college.
  • 3–5 years of proven experience as an Executive Assistant or Secretary, preferably supporting Managing Directors or Senior Executives.
  • Prior experience as an Office Coordinator with a strong administrative background may also be considered.

Key Skills

  • Excellent Follow-Up SkillsThis is a mandatory requirement.
  • Proficient in MS Office, especially Excel and Word.
  • Strong command of English and Hindi (spoken and written).
  • Shorthand proficiency is required.
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication abilities.

Preferred Candidate Profile

  • Resident of Shillong, Meghalaya.
  • Demonstrated job stability; candidates with frequent job changes need not apply.
  • Honest, trustworthy, and dependable.

Job Type: Full-time

Pay: ₹25,000.00 - ₹30,000.00 per month
